Reports To:
Executive Director, Administrative Manager, Client Care Manager Summary:
This position will represent the Galveston Island Humane Society (GIHS) in a professional and courteous manner and provide quality client services, primarily at the shelter's front desks. This position requires learning a wide range of policies and procedures including intake procedures and documentation, animal outcome procedures and documentation, and outreach programs and shelter promotions. Position must maintain efficient work processes and work closely with all areas of the shelter and volunteers.
Essential Duties and Functions:
Provides efficient and courteous reception of the public that may include answering questions, offering information, accepting donations and contributions, and promoting the mission of the GIHS. Must be able to utilize appropriate communication skills in dealing with the daily range of emotions exhibited by the public, with compassion. Provides all aspects of client care services related to animal relinquishment, redemption, transfer, fostering, or adoptions and provides follow up, as needed. Educates clients on responsible animal care and local ordinances. Conducts animal adoption counseling and completes adoptions, ensuring all transaction paperwork and computer records are complete and accurate. Processes direct animal intake assuring accurate and detailed information is obtained and documented if possible. Provides kennel cards for all intakes including photos. Must be comfortable with handling and identifying possible breeds in both canines and felines or other animals, as part of intake. Ensures that lost or found reports are taken accurately and entered into database. Stays aware of animals in the shelter to match reports with possible matches. Updates database as needed. Assists with disease control and cleaning of public areas ongoing throughout the day as needed Responsible for accurately handling money. Works with volunteers and community service workers, assisting with maintaining attendance record books for both. Works with the City of Galveston Animal Services Officers for intake and outcome of animals. Work closely with all departments to maintain records, along with current and correct inventory of animals on the premises. Data entry utilizing shelter software program(s). Must keep current on shelter program for total utilization. Assist with animal related projects as necessary, including pick-up and/or delivery of animals to vets, feeding and/or watering animals, cleaning cages, etc., especially those in the reception area. May assist with off-site adoptions. All other duties as assigned by the Executive Director, Administrative Manager or the Animal Health Manager.
Physical Requirements and Work Environment:
Multi-tasking abilities are needed as this position is subjected to frequent interruptions. Operates computers, copiers, printers, and other electronic equipment. Occasionally lifts, carries and positions objects weighing up to 50 pounds when moving equipment, supplies, or animals with reasonable accommodations. Typically stands, bends, stoops and crouches to adjust equipment or handle animals. Regularly moves about the shelter to problem solve and coordinate work. Work may be performed in kennel environment with exposure to various weather conditions when working outdoors. Exposure to disinfectant solutions if cleaning cages or rooms. Subject to animal bites and scratches while handling animals of questionable temperament Consistently exposed to animals and animal allergens under conditions with limited alterations available
Knowledge, Skills, and Abilities:
Commitment to the mission, values, goals, and success of the Galveston Island Humane Society. Effective written and verbal communication skills, capable of maintaining professional dialogue via email as needed to coordinate with both the public and all departments at GIHS. Sound judgment and ability to exercise complete discretion when dealing with confidential information. Detail-oriented; ability to recognize urgency, prioritize, and act quickly during crisis management. Computer skills in a Windows environment preferred. Knowledge and skills in Social Media programs for the promotion of shelter pets and programs. Has an understanding of core animal vaccination requirements along with health issues. Qualifications (Required): High school diploma or equivalent. Minimum two years college, preferred. Available to work weekends, evenings and holiday shifts as needed. Bilingual, (English/Spanish).
