Job Description

JOB DESCRIPTION
Under general supervision, performs secretarial duties, which include work requiring knowledge of specialized medical/scientific terminology; performs general secretarial duties as assigned. The work is performed under the supervision of the Director of Operations. Answers telephones and screens calls for the Regional Medical Examiner Office. Responds to inquiries and provides information and assistance to the general public in person, by telephone or by mail in matters as mandated by individual County Medical Examiner Division concerns. Assists families with release of property, obtaining reports and other general questions. Types autopsy reports, manuscripts, and/or protocols from transcribing machine, straight draft, or notes. Types cremation clearance and invoices funeral homes. Performs secretarial duties requiring knowledge of specialized medical/scientific terminology. Prepare final autopsy reports and electronically publish autopsy reports in medical examiner database to meet a 90 day turn around deadline. Assist in data entry of nursing home and hospice death reports received Monday - Friday, office hours within 90 minutes of receipt. Processes various records requests; composes and types routine correspondence, memos, letters, reports; Performs office support duties; may collect monies and maintain records of receipts; maintains inventories; receives and distributes supplies and materials, etc. Files correspondence and records; Responds to requests for information. Answer and directs calls by taking messages, schedules appointments and refers caller to appropriate personnel. Prepares and proofs drafts and final documents including autopsy reports, correspondence, summaries, evaluations and contracts. Monitors, maintains and updates reports, logs, lists, spreadsheets and databases. Receives, reviews, processes and issues vouchers, invoices, purchase orders, applications, work orders, registrations, permits and licenses.
Payroll Clerk:
Timecard entry. Receives, opens, sorts and distributes U.S. and interoffice mail. Assists in monitoring and orders supplies and equipment. Telecommuting on occasion. Performs other duties as assigned.
REQUIREMENTS
Education High school diploma; supplemented with Experience Two (2) years secretarial experience which includes minimum of one (1) year using medical/scientific terminology. Working skill with data entry, word processing and spreadsheets or data base is desired. Ability to interact effectively and courteously with coworkers and the general public.
