Full Job Description Documentation Specialist Description Job Summary:
At Avondale Toyota we endeavor to change the automotive industry by providing an authentic, healthy and world class experience for our customers and our employees through passionate and disciplined application of our One Price, One Person philosophy. The Document Specialist is responsible for providing support to the Sales & Finance Department by preparing deal documentation, processing all new and used car contracts, performing Sales & Finance Manager payroll and paying off vehicles.
Job Duties:
Provide a world class experience for your customers, colleagues, and employees Adhere at all times to the One Price, One Person ® philosophy Execute all duties in a manner consistent with our values: high-character, engaged, team-player Relentlessly strive to improve the overall quality of deal documentation and minimize errors Prepare and audit all vehicle sales documentation. Accurately calculate tax and registration fees Ensure no documentation is missing and is defect free. Post deals in Dealer Management System (Reynolds) Assign and distribute electronic contracts to the appropriate lender Package and overnight paper contracts to the appropriate lender Immediately process deals that are ready to be funded and record on the Sales Trip Pad Reconcile sales commissions and process payroll two times per month Log any unmet deal stipulations (Doc Log) and notify the Sales & Finance Manager immediately Log any canceled transactions and notify appropriate personnel Collect any money due and adhere to strict cash handling guidelines Other duties as assigned
