Job Description

We are looking for a detail-oriented General Office Clerk to support document digitization and records organization in Anaheim, California. This Long-term Contract position focuses on converting paper files into accurate, accessible digital records while maintaining strong quality and compliance standards. The role is ideal for someone who is comfortable with scanning technology, administrative support tasks, and coordinating consistent document handling practices across teams.
Responsibilities:
  • Manage the day-to-day scanning of physical records, ensuring each file is captured clearly and completely.
  • Prepare, index, and organize digital documents so they can be retrieved quickly within the electronic repository.
  • Use scanning equipment and related software effectively, while performing routine checks to keep tools functioning properly.
  • Review scanned images and entered information for accuracy, completeness, and proper classification before final storage.
  • Establish and refine document handling workflows to improve efficiency, consistency, and record quality.
  • Maintain documented procedures for scanning, file naming, indexing, and storage in alignment with operational standards.
  • Train team members on equipment use, document preparation, and established scanning protocols.
  • Work with IT and cross-functional departments to support document management systems and resolve process issues.
  • Monitor recordkeeping practices to help ensure digital files meet applicable quality, security, and compliance expectations.
