Overview Element is seeking a highly organized, detail-oriented Certification Typist / Quality Administrator to support the preparation, review, verification, and delivery of customer certifications, quality documentation, and technical reports. This role serves as a critical quality checkpoint, ensuring that customer data, test results, certifications, and supporting documentation are accurate, complete, and compliant with customer and company requirements. The ideal candidate has experience in administrative support, executive assistance, legal document preparation, records management, quality administration, or other document-intensive environments where accuracy, organization, and attention to detail are essential. Success in this role requires strong analytical skills, the ability to verify numerical and technical information, and a commitment to maintaining the integrity of customer records and certifications.Pay Range:
$22.00 - $28.00 per hour Responsibilities Certification & Documentation Management- Prepare, format, proofread, and finalize customer certifications, technical reports, and quality documentation.
- Review completed certifications and reports for accuracy, completeness, consistency, and compliance with customer requirements.
- Verify numerical data, test values, specifications, material information, and supporting documentation before release.
- Ensure certifications accurately reflect laboratory results, customer purchase order requirements, and applicable standards.
- Identify discrepancies, omissions, or inconsistencies and coordinate corrections with technical and operational staff.
- Track revised, corrected, and reissued certifications while maintaining version control and documentation history. Quality Data Review & Verification
- Perform detailed reviews of quality records, test reports, and customer documentation to ensure data accuracy.
- Verify calculations, measurements, quantities, dates, specifications, and associated documentation.
- Conduct quality checks to ensure information entered into company systems matches source documentation.
- Maintain logs of certification corrections, internal quality findings, and documentation revisions.
- Support quality initiatives through accurate recordkeeping and process compliance. Administrative & Document Control Support
- Organize, maintain, and manage electronic and physical filing systems for active and completed work orders.
- Process incoming requests and documentation while ensuring proper record retention and traceability.
- Batch scan completed files and verify successful electronic storage within company systems.
- Maintain document control procedures to ensure accurate retrieval, distribution, and archiving of records.
- Assist with record audits and document retrieval requests as needed. Customer & Internal Coordination
- Review customer purchase orders and documentation requirements to ensure requirements are properly captured.
- Communicate professionally with customers and internal departments regarding documentation requests and discrepancies.
- Collaborate with laboratory personnel, planners, technicians, and management to resolve documentation issues.
- Support departmental workflow priorities to ensure timely delivery of completed certifications and reports.
Skills / Qualifications
Required- High School Diploma or GED.
- Minimum two years of experience in an administrative, document control, executive support, quality administration, legal typing, records management, or similar detail-oriented role.
- Advanced typing, proofreading, and document preparation skills.
- Strong proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat.
- Excellent organizational skills and attention to detail.
- Ability to review and verify numerical data with a high degree of accuracy.
- Strong written and verbal communication skills. Preferred
- Associate degree or related educational background.
- Experience in quality systems, compliance administration, aerospace, manufacturing, laboratory, engineering, or technical environments.
- Experience reviewing technical reports, certifications, contracts, legal documents, or regulated documentation.
- Knowledge of document control principles and quality record management. Work Environment
- Office-based environment with occasional interaction within laboratory and testing operations.
- Extended periods of keyboarding, document review, and computer work.
- Occasional lifting of files and office materials up to 15 pounds.
- Fast-paced environment with multiple deadlines and competing priorities.
