Job Description

Document Administrator Overview We are looking for an organized and detail-oriented Document Administrator to support our Quality department. This role helps maintain accurate, accessible, and well-organized documentation within our Quality Management System (QMS). The Document Administrator will assist with document control, quality data entry, records management, and document formatting. The position also helps ensure documents are current, properly approved, and maintained according to established procedures and applicable standards, including
ISO 13485.

Responsibilities Enter and maintain quality data in QMS software Provide administrative support to the Quality department Help maintain and organize QMS documents and records Format, update, and standardize documents using approved templates Create and revise controlled documents with guidance from Quality team members Help ensure that current, approved documents are available for use Archive and retain records according to QMS procedures and retention requirements Enter and update information in document control or QMS systems Maintain document logs, trackers, and electronic or paper filing systems Retrieve documents and records for audits and inspections Communicate document status, discrepancies, and questions to the appropriate team members Follow established QMS procedures and work instructions Handle controlled documents and quality records confidentially and responsibly Qualifications Strong attention to detail and accuracy Experience in administrative, clerical, records, data entry, or document-related work Basic understanding of document organization and filing practices Ability to follow written procedures and standardized processes Working knowledge of Microsoft Word, Excel, and Outlook or similar programs Ability to organize multiple assignments and meet deadlines Clear written and verbal communication skills Ability to work independently and ask questions when guidance is needed Ability to handle confidential information professionally Willingness to learn new systems, procedures, and quality requirements Preferred, but Not Required Approximately two years of relevant administrative, clerical, or document-related experience Associate degree, relevant coursework, professional training, or equivalent work experience Exposure to document control, records management, regulated environments, or quality systems Familiarity with controlled documents, revision tracking, or version control concepts Experience using an electronic document management system (EDMS) or QMS software Familiarity with ISO 13485 or another quality standard Work Location In person, flexible hours
Pay:
$21.00 - $23.00 per hour Expected hours: 35.0 - 40.0 per week
