Job Summary We are seeking an organized, methodical, and detail-oriented Document Controller / Estimating Assistant to join our fast-paced team. In this role, strong computer skills and professional email etiquette are essential. The ideal candidate thrives under pressure, possesses the ability to manage a high-volume workflow, and can independently assess and adjust priorities on the fly.
Responsibilities ITB Management:
Download potential projects, review, and evaluate Invitations to Bid (ITBs). Manage, monitor, and maintain the Bids email inbox.
General Contractor Coordination:
Request erection start dates with General Contractors (GCs) if not noted on the ITB.
Project Logistics & Taxation:
Advise the distance in miles from the shop to the project location and confirm project location tax rates.
Tracking & Logging:
Log all projects and add them to the additional bid list if they convert to an estimate.
Platforms:
Manage and monitor Building Connected ("Projects to Bid" and "Undecided"), taking appropriate action as required.
Data Logging:
Log information from submitted proposals onto the estimating backlog, including square footage (SF), tonnage, pricing, and other key details.
Document Processing:
Name, stamp, extract, and update project folders. Maintain the current master bid set and specifications.
PDF Packages:
Provide estimators with complete PDF estimate packages. Print drawings and specifications only as requested.
Subcontractor Coordination:
Send out ITBs and plans to subcontractors. Process all DCNs (Document Change Notices) and distribute them to subs on all estimates.
Vendor Follow-up:
Follow up with vendors for pricing and ensure estimating folders are fully up to date with current vendor pricing.
Workflow & System Setup:
Input sent bids breakdown information into the estimating backlog. Fill out Estimating Travelers and place the full package on the Estimator WIP Rack. Set up new projects in workflow and MRP, populating drawing folders and re-stamping as PCO-000.
Drawings & Takeoffs:
Create drawing overlays during the bid process if new drawings are provided through a DCN. Perform estimating takeoffs of miscellaneous steel, including (but not limited to) embeds, stud counts, bollards, gutter guards, and roof frames.
Professional Growth:
As time permits and core duties are successfully satisfied, opportunities are available to learn more about the broader estimating process and perform additional takeoffs.
Required Qualifications & Skills:
Strong computer literacy and professional email communication skills. Highly organized with a methodical approach to daily tasks. Ability to work effectively in a fast-paced environment under pressure, assessing workflows to adjust priorities dynamically.
Preferred Qualifications & Skills:
Understanding and basic knowledge of Bluebeam. Construction industry Experience and Basic understanding of construction/engineering drawings.
