Full-time Position Summary:
The Production Associate plays a critical role in the document lifecycle process, ensuring the accurate handling, preparation, scanning, indexing, and quality control of high-volume document batches. This position requires strong attention to detail, organizational skills, and the ability to work efficiently in a fast-paced, production-driven environment.
Key Responsibilities:
Document Preparation & Fulfillment:
o Sort, organize, and prepare documents for scanning and processing. o Perform commercial cutting and trimming of documents to meet scanning specifications. o Fulfill document requests and manage sorting for distribution or archiving.
High-Volume Document Scanning:
o Operate high-speed scanners to digitize large volumes of documents. o Monitor scanner performance and troubleshoot minor technical issues.
Document Indexing & Data Entry:
o Accurately index scanned documents using predefined metadata fields. o Ensure proper classification and tagging of documents for retrieval and compliance.
Inventory Control & Material Handling:
o Track and manage physical document inventory using internal systems. o Handle incoming and outgoing materials, including lifting and moving boxes up to 40lb
Quality Inspection & Assurance:
o Conduct detailed quality checks on scanned images and indexed data. o Identify and correct scanning or indexing errors to maintain data integrity.
Compliance & Confidentiality:
o Adhere to company policies and industry regulations regarding document handling and data privacy. o Maintain confidentiality and security of sensitive information at all times.
Qualifications:
High school diploma or equivalent; associate degree preferred. Familiarity with document scanners, indexing software, and inventory systems. Strong attention to detail and accuracy. Ability to lift and move materials up to 40 lbs. as needed. Basic computer proficiency (Microsoft Office, data entry systems).
Preferred Skills:
Experience with commercial cutting equipment. Knowledge of document management systems (DMS). 1-2 years of experience in document services, records management, or a similar production environment. Previous work in a high-volume production or fulfillment environment.
Work Environment:
Fast-paced, deadline-driven setting. Regular Scheduled Attendance is Critical May require standing or sitting for extended periods and handling physical materials. Use of personal protective equipment (PPE) as required. Dress code is Business Casual; No open-toe shoes, midriff cut-offs/low-cut tops, or long nails. Attention-Focused environment; No phones. No headphones/earbuds. Minimal conversations #MMIL
