Position Overview Team ZAK is seeking a detail-oriented and highly organized Records Management Specialist to oversee the creation, classification, storage, retention, and disposal of company records. This role ensures that all physical and electronic records are maintained in compliance with legal, regulatory, and organizational standards. The ideal candidate will play a key role in safeguarding sensitive information, improving records systems, and promoting best practices in document control and information governance. Key Responsibilities Records Administration Develop, implement, and maintain records management policies and procedures. Classify and organize physical and digital records according to retention schedules. Maintain accurate filing systems and databases for efficient retrieval. Ensure secure storage and proper handling of confidential information. Compliance & Governance Ensure compliance with applicable laws, regulations, and internal policies. Monitor and enforce records retention and disposal schedules. Prepare documentation for audits and regulatory reviews. Assist in developing and updating information governance standards. Digital Records & Systems Management Manage electronic document management systems (EDMS). Coordinate digitization and archival projects. Monitor system access controls to protect sensitive data. Identify opportunities to improve automation and workflow efficiency. Training & Support Provide guidance and training to staff on records management best practices. Serve as a subject matter expert on document retention and information security. Support departments with records retrieval and documentation requests. Qualifications Bachelor's degree in Information Management, Business Administration, Library Science, or related field preferred. 3-5+ years of experience in records management, document control, or administrative support. Knowledge of records retention regulations and compliance standards. Experience with document management systems and database software. Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Ability to handle confidential information with discretion.
