This role involves utilizing specialized software to ensure accurate recording, tracking, and submission of documents for recording purposes. The Recording Specialist plays a vital part in maintaining the integrity of property records by reviewing and correcting recordings as needed, ensuring compliance with recording standards, and coordinating with relevant departments to facilitate smooth processing. Duties Utilize Qualia and Simplifile platforms to process and record legal instruments related to property transactions. Perform quality control reviews on all recordable instruments post-upload or submission for recording via provided URLs. Track recordings throughout the process, ensuring timely completion and proper documentation. Identify and correct any issues or errors in recordings before final submission. Accept returned recordings, review them for accuracy, and prepare them for turnover to the policy department. Ensure all recorded documents meet industry standards and comply with applicable regulations. Maintain organized records of all transactions and updates within the recording system. Collaborate with team members to resolve recording issues efficiently and effectively. Skills Proficiency in using Qualia and Simplifile software platforms for document processing and recording tasks. Strong attention to detail to perform quality control reviews accurately. Familiarity with Microsoft Office applications for documentation and communication purposes. Excellent organizational skills to track multiple recordings simultaneously. Ability to identify errors or discrepancies in recorded documents and take corrective actions promptly. Effective communication skills to coordinate with internal departments and external partners. Knowledge of property recording procedures and standards is preferred but not mandatory.
