Coordinate document workflow management across multiple teams, ensuring timely approval, filing, and distribution of project records. Support regulatory and legal compliance efforts by reviewing documents for adherence to industry standards and filing necessary reports with relevant authorities. Utilize project management software to track project milestones, deadlines, and deliverables while maintaining detailed records of all correspondence and documentation activities. Proofread technical documents for clarity, consistency, and accuracy; ensure proper formatting and adherence to technical writing standards. Facilitate cross-functional communication between engineering teams, contractors, vendors, and regulatory bodies to streamline document control processes. Conduct regular audits of document control procedures to uphold quality management standards and improve workflow efficiency. Assist in training team members on document control protocols and best practices for records management within engineering or construction environments. Skills Proven experience with document management systems; skilled in document review (document control) and workflow management. Excellent organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for technical writing, data management, and reporting purposes. Experience with project management software tools that facilitate scheduling, tracking progress, and managing documentation workflows. Effective cross-functional communication skills to liaise seamlessly between engineering teams, legal departments, regulatory agencies, and external vendors. Strong proofreading abilities combined with technical writing expertise to produce clear, accurate documentation compliant with industry standards. Background in administrative support within engineering or construction industries; familiarity with records management principles is advantageous.
