This individual will work cross-functionally with various departments to undertake administrative duties and ensure the smooth running of our business processes through efficient document control practices.
Key Responsibilities:
Manage all company documents while ensuring their accuracy, quality, and integrity. Work with operational teams and other departments to ensure controls are in place regarding the creation, approval, review, modification, dissemination and disposal of all documentation. Maintain the document management system (DMS), and develop, implement and update document data management policies and procedures, ensuring they align with all legal and business requirements. Work collaboratively with project teams to ensure all documentation is done accurately and in a timely manner. Assist with communication during external audits, coordinating document retrieval and review as needed. Train colleagues as required on document management processes and standards to ensure companywide compliance.
Qualifications:
Bachelor's degree in Business Administration, Records Management, Library Science or a related field is required. Minimum of 3 years of document control experience, preferably in a similar industry. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple tasks and projects under tight deadlines. Proficiency with Microsoft Office Suite and experience with document management software. Certification in Records Management is an asset.
