Job Summary:
We are seeking a Documentation Specialist to support global market opening initiatives within a leading financial services organization. This role will work closely with global clients who are opening new markets and will be responsible for coordinating, compiling, reviewing, and managing the documentation required throughout the market-opening process. The Documentation Specialist will serve as a key point of coordination between internal teams and global clients, ensuring the appropriate documentation is prepared and delivered for client review and signature. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple requests and documentation packages simultaneously. This is a 12-month contract position located in Pittsburgh, PA , with a hybrid work schedule (4 days on site).
Key Responsibilities:
Global Market Openings:
Support the documentation process for global clients opening new markets, ensuring all required materials are compiled and coordinated throughout the process.
Documentation Preparation:
Compile and organize required documentation, forms, and templates based on the specific requirements of each market opening.
Client Coordination:
Prepare and send documentation packages to global clients for review, completion, and signature, ensuring clients have the appropriate materials and instructions.
Document Review:
Review completed documentation and client feedback for accuracy and completeness. Identify required changes, missing information, or outstanding documentation and coordinate next steps.
Document Updates:
Track and incorporate requested changes to documentation, ensuring revised materials are accurate and ready for subsequent review or signature.
Multiple Requests:
Manage multiple market-opening requests at various stages of completion, prioritizing work and maintaining accurate records of outstanding items and deadlines.
Documentation Tracking:
Monitor documentation throughout the market-opening process, including materials sent to clients, documents returned for review, revisions required, and final signed documents.
Cross-Functional Communication:
Coordinate with internal teams and stakeholders to obtain required information, resolve documentation issues, and keep market-opening requests moving forward.
Qualifications:
Bachelor's degree required Strong organizational and time-management skills Exceptional attention to detail Ability to manage multiple client requests simultaneously Strong written and verbal communication skills Experience reviewing detailed documentation and identifying discrepancies or missing information Ability to work independently while coordinating with multiple internal and external stakeholders Comfortable working in a fast-paced, deadline-driven environment
Preferred Experience:
Experience supporting market openings or account openings. Experience working with global clients or international stakeholders Previous experience in financial services, banking, or operations Experience compiling, reviewing, and managing client documentation Experience coordinating documents through review, revision, and signature Experience creating or maintaining document templates and standardized processes Previous administrative or documentation-focused experience
