(IN-DSAD-IUINA) Department Information The Indiana University (IU) School of Dentistry has been advancing oral health in the state and beyond since 1879, when it was founded as the Indiana Dental College. Over the past 140 years, we've become a national leader in preparing oral health professionals, conducting innovative research that has an impact on patients and the profession, and providing patient-centered care. Job Summary The Part-Time Document Management and Point Specialist is responsible for organizing, maintaining, and managing electronic files and records within Point and other Microsoft 365 applications. This position supports efficient document control, records retention, data accuracy, and accessibility compliance. The ideal candidate will have experience with Point, strong Microsoft Office skills, and knowledge of document accessibility standards. Department-Specific Responsibilities Performs document and file management Organizes, maintains, and updates electronic records and file repositories Creates and manages folder structures, metadata, document libraries, and version control systems Ensures documents are accurately indexed, categorized, and archived according to organizational policies Performs routine audits to verify document accuracy, completeness, and compliance with retention requirements Assists with records retention and disposition processes Maintains and updates Point sites, document libraries, and permissions Uploads, organizes, and manages content within Point environments Supports users with document retrieval, collaboration tools, and Point navigation Implements best practices for file naming conventions and records management Troubleshoots basic Point issues and coordinates with IT support as needed Utilizes Microsoft Word, Excel, PowerPoint, Outlook, Teams, and OneDrive to support departmental operations Creates reports, spreadsheets, presentations, and tracking tools as needed Assists in migrating documents and data between Microsoft 365 platforms Ensures document accessibility Reviews and remediates documents to ensure compliance with accessibility standards, including Web Content Accessibility Guidelines (WCAG) and Section 508 requirements Creates accessible Word documents, PDFs, PowerPoint presentations, and Excel files Uses accessibility checkers and assistive technology testing tools to identify and correct compliance issues Provides guidance on accessible document design and formatting best practices Ensures confidentiality and security of sensitive information Follows established policies regarding data governance, records retention, and information security Maintains detailed documentation of processes and procedures Supports audits and compliance reviews as needed Qualifications

EDUCATION

Required High school diploma or equivalent (such as HSED or GED) Preferred Bachelor's degree

WORK EXPERIENCE

Required 2 years of experience in document management, records management, administrative support, or a related field Preferred Experience working in higher education, healthcare, government, or regulated environments

LICENSES AND CERTIFICATES

Preferred Point or Microsoft certification SKILLS Required Excellent organizational and time-management skills Strong attention to detail and accuracy Proficient communication skills Maintains a high degree of professionalism Demonstrates time management and priority setting skills Demonstrates a high commitment to quality Possesses flexibility to work in a fast paced, dynamic environment Highly thorough and dependable Advanced proficiency in Microsoft Office applications Experience working with Microsoft Point Online Experience creating and remediating accessible documents Knowledge of electronic records management principles Preferred Experience with Microsoft 365 administration Knowledge of records retention and document control practices Familiarity with WCAG 2.1, Section 508, or other accessibility standards Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer for extended periods and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation. Work Location IU School of Dentistry Indianapolis, Indiana This position is eligible for remote work, subject to change in the future based on university policy and business needs. Advertised Salary $23.00 - 25.00 per hour based on experience Work Hours 20 - 25 hours per week This is a part time position.
