Role Summary The Document Control Specialist is responsible for managing, organizing, and securing the company's life cycle of physical and electronic documents. This role ensures complete adherence to internal document control procedures, compliance requirements, and regulatory standards. The ideal candidate functions with a high level of accuracy and meticulous attention to detail to ensure company stakeholders always have secure, seamless access to the latest authorized materials. Key Roles & Responsibilities Administer the intake, tracking, recording, formal archiving, and disposal of physical and digital records utilizing Electronic Document Management Systems (EDMS). Enforce strict version control rules to ensure obsolete materials are removed from circulation and only approved, up-to-date documentation is distributed. Perform continuous quality reviews on engineering blueprints, technical manuals, contracts, or procedures to verify proper formatting, completeness, and adherence to
ISO/AISC
regulations. Manage structured user permissions to secure sensitive data. Prepare highly organized records to systematically support internal, external, and client quality system audits. Partner directly with engineering, accounting, sales, operations, and quality control teams to quickly resolve workflow bottlenecks and distribute documentation in a timely manner. Provide actionable feedback to improve document workflows, update filing systems, and deliver formal user training to staff on company document control processes. Requirements & Qualifications 2+ years of dedicated professional experience in document control, data management, or records administration. Advanced proficiency with prominent Document Management Software (e.g., SharePoint) and Microsoft Office Suite. Exceptional analytical and organizational skills with a proven track record of handling high-volume technical data without errors. Excellent verbal and written communication skills to collaborate cleanly across cross-functional engineering, production, and executive teams.
Pay:
$24.00 - $27.00 per hour Expected hours: 40.0 per week
