Administers document and record control operations, policies, and procedures for the secure management and access of company information assets. Maintains and enforces security protocols for the access, storage, backup, maintenance, reproduction, protection, and disposition of all documents. Evaluates media formats and follows storage requirements to protect and secure records/information. D uties and
Responsibilities :
This role involves ensuring that documents are up to date, accessible, and meet the regulatory and company standards. The specialist will work closely with various departments to ensure documentation accuracy and integrity. Oversee the document management system, ensuring documents are correctly cataloged, stored, and accessible. Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction. Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements. Consults with end users to identify problems in accessing electronic content. Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls. Ensures company complies with applicable laws and regulations regarding data security and document management. Communicates and consults with other staff when assessing, acquiring , or deploying new electronic document management systems to ensure smooth transition and minimal disruption. Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues . Performs other related duties as assigned.
Minimum Job Requireme nts:
Education/Certifications and Experience :
Associate's degree in a related field, or equivalent work experience Minimum of 3 years of experience in document control or a related field, preferably in a regulated industry. Knowledge of regulatory compliance requirements. Knowledge , Skills , and
Abilities:
Proficient in Microsoft Office Suite (Word , Excel, PowerPoint, Access ) . Strong organizational and attention to detail skills . Experience with electronic document management systems . Excellent communication and interpersonal skills . Ability to work independently and manage multiple priorities . Strong problem-solving skills and the ability to think critically . Demonstrated ability to work collaboratively with cross-functional teams . Commitment to maintaining high standards of accuracy and consistency in documentation .
