Job Title:
Document CoordinatorJob Description The Document Coordinator maintains and organizes controlled quality documents to ensure accuracy, compliance, and accessibility across the organization. This role manages document changes, supports quality and specification updates, and ensures that all documentation remains current and properly controlled. The position also involves categorizing consumer complaints and entering detailed information into a complaint database to support quality assurance activities. Responsibilities + Coordinate the maintenance, revision, and distribution of controlled quality documents, including policies, procedures, and forms. + Process Document Change Notices by routing documents for approval, maintaining complete revision histories, and communicating updates to relevant stakeholders. + Perform annual document reviews to verify accuracy and compliance, and coordinate updates as required. + Maintain the document control system to ensure documents are properly filed, version controlled, and easily retrievable. + Support specification change requests by coordinating documentation updates, routing for approval, and ensuring timely implementation. + Categorize consumer complaints accurately and enter detailed information into a complaint database to support quality assurance and continuous improvement. Essential Skills + Experience with document control processes and systems. + Proficiency in Microsoft Word, Excel, and Outlook. + Strong attention to detail and accuracy in handling documentation and data entry. + Ability to perform accurate excel data entry for document and complaint records. + Basic understanding of quality assurance concepts related to document management and complaint handling. Additional Skills & Qualifications + High school diploma or equivalent. + Ability to organize and prioritize multiple documentation tasks. + Strong written and verbal communication skills for preparing and updating documents. + Comfort working with databases and electronic document management tools. Work Environment The Document Coordinator works in an office-based environment using computers and standard office software, including Microsoft Word, Excel, Outlook, and document control systems. The role involves extended periods of working at a desk, reviewing electronic documents, and entering data into spreadsheets and databases. The position requires consistent attention to detail, adherence to established procedures, and collaboration with colleagues across quality and other functional areas to support accurate and compliant documentation. Job Type & Location This is a Contract position based out of Appleton, WI. Pay and Benefits The pay range for this position is $24.00 - $24.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
