Job Description

Primary Position Objective The Post Closing Specialist supports post-closing review, collateral administration, trailing document management, and related mortgage operations activities. This position is responsible for reviewing mortgage loan documentation for completeness and accuracy, monitoring document exception inventories, coordinating resolution of document deficiencies, and maintaining accurate collateral records. Major Duties and Responsibilities Review mortgage loan files and supporting documentation for completeness, accuracy, and adherence to established client requirements and servicing standards. Review notes, mortgages, deeds, assignments, title policies, endorsements, UCC filings, and related collateral documentation. Monitor trailing document inventories, exception reports, work queues, and aging reports. Identify document deficiencies, missing documentation, recording issues, and collateral exceptions requiring follow-up. Research document discrepancies and coordinate corrective actions with internal departments and external business partners. Communicate with title companies, closing agents, custodians, investors, clients, and internal departments regarding document exceptions and corrections. Track receipt, review, certification, and resolution of trailing documents and related collateral documentation. Support collateral file certification, audit preparation, quality control reviews, and related operational activities. Process document imaging, indexing, classification, naming, and related document management activities. Monitor workflow queues, department inboxes, reports, and servicing system tasks associated with post-closing operations. Assist with testing activities, procedure updates, process improvements, and special projects as assigned. Supervisory Requirements None. Independent Judgment Exercise sound judgment when reviewing loan documentation, researching document deficiencies, resolving collateral exceptions, and evaluating file completeness while applying established procedures and escalating unusual situations appropriately. Requirements & Qualifications Minimum 12 months of mortgage operations, post-closing, loan documentation, trailing documents, document custody, collateral review, quality control, banking operations, or related experience. Two or more years of mortgage operations or post-closing experience preferred. High school diploma or equivalent required; associate degree or higher education preferred. Experience with mortgage servicing systems, document management platforms, imaging systems, workflow applications, or related technology preferred. Strong attention to detail and commitment to accuracy. Strong organizational skills and ability to manage multiple priorities and deadlines. Working knowledge of Microsoft Outlook, Word, and Excel. Strong comfort level with technology and ability to learn new systems efficiently. Physical Requirements Sedentary office environment with frequent computer use, communication, repetitive hand motions, and occasional lifting of up to 10 pounds.
