Job Description

Job Overview:
We are seeking a detail-oriented and highly organized Fire Inspection and Service Coordinator to join our team. This role will primarily involve coordinating Fire and Life Safety Inspections for technicians in the field while managing office tasks related to fire protection systems, maintenance schedules, and customer service. The ideal candidate will be able to multitask, manage technician schedules, communicate effectively with clients and field staff, and ensure smooth operations for all fire service-related activities.
Key Responsibilities:
Field Inspection and Service Coordination :
Schedule and dispatch field technicians to service calls, ensuring timely response and effective repairs. Maintain communication with technicians in the field, providing necessary information and support to ensure jobs are completed efficiently. Monitor job progress and follow up with technicians to ensure that service tasks are completed to specification and on time. Coordinate emergency service requests and prioritize urgent repairs, ensuring clients' fire safety needs are met.
Customer Service and Communication :
Serve as the main point of contact for customers requesting fire protection services, maintenance, or emergency repairs. Respond to customer inquiries, provide status updates on ongoing service requests, and ensure that clients' expectations are met. Prepare quotes, service reports, and invoices for clients, ensuring accurate documentation and timely follow-up.
Office Administration :
Manage and maintain service schedules for technicians, ensuring optimal routing and minimizing downtime. Keep detailed records of service requests, work orders, and repairs for compliance and reporting purposes. Ensure all fire inspection reports are properly documented, tracked, and submitted according to AHJ standards. Prepare reports for management regarding technician performance, service completion, and any issues that arise during service calls.
Team Support :
Collaborate with the fire service team to improve workflows and processes to increase efficiency. Support the recruitment and training of new technicians, as needed. Assist with inventory management, ensuring that parts and equipment are ordered and stocked as required.
