Job Description

Opportunity Air Conditioning is growing! We are looking for a professional, organized, dependable, and motivated HVAC Office & Permitting Coordinator to join our team in Sarasota, Florida. This position requires fluency in both English and Spanish. This is a full-time, in-office position and an important role in our daily operations. The ideal candidate will help manage customer communication, scheduling, office administration, HVAC permits, inspections, and communication with local city and county Building Departments.
Responsibilities:
Answer incoming customer calls professionally in English and Spanish Make outbound calls to customers and leads Schedule service calls, estimates, installations, and inspections Follow up with customers regarding estimates and appointments Communicate with customers by phone, email, and text Work closely with technicians, installers, and management Use Housecall Pro to schedule and manage jobs and customer information Contact city and county Building Departments Apply for HVAC permits with cities and counties Upload required documents to online permitting portals Track permits from application through approval and final inspection Schedule required permit inspections Follow up on inspection results Communicate with permitting departments and inspectors Maintain contractor registrations with local jurisdictions Maintain organized customer, permit, and office records Assist with estimates, invoices, work orders, and documentation
Qualifications:
Fluent English - Required Fluent Spanish - Required Excellent verbal and written communication skills Professional phone and customer service skills Strong computer and organizational skills Strong attention to detail Comfortable making and receiving customer calls throughout the day Ability to multitask and follow tasks through completion Experience with email, computers, and online portals Reliable, responsible, and punctual Portuguese is a plus, but not required
Preferred Experience:
Previous experience in an HVAC, plumbing, electrical, roofing, construction, or home-services office Experience with permits and inspections HVAC dispatching or scheduling experience Housecall Pro or similar CRM experience Experience communicating with city/county Building Departments is a strong plus
Compensation:
$20.00-$24.00 per hour, based on experience
