JOB DESCRIPTION
The Inspection & Permit Technician serves as the primary administrative support for the Building Inspections Division by coordinating daily inspection operations, managing inspector workloads, and ensuring efficient scheduling of inspection services. This position is responsible for evaluating daily inspection capacity, coordinating inspection requests, and adjusting schedules to maximize efficiency while maintaining high levels of customer service. The coordinator works closely with the Inspections Manager to manage schedules, assist with operational planning, prepare proposals and contracts, and support the overall delivery of inspection services. This position oversees invoicing for all inspection-related work, maintains inspection records, and provides administrative support for client communications and contract administration. Additional responsibilities include assisting with the management of the company vehicle fleet, coordinating company-issued mobile devices, and supporting other operational and administrative functions within the department. In addition to inspections coordination, this position processes permit and project applications by verifying information required for plan review and fee determination, routing applications to plan reviewers and inspectors, issuing permit numbers, preparing project files and fee documentation, and providing exceptional customer service to jurisdictional clients, contractors, design professionals, and the public through clear, courteous, and professional communication. The ideal candidate is highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment while exercising sound judgment and working with moderate supervision.
ESSENTIAL DUTIES
Coordinate and manage the daily inspection schedule and inspector workloads. Evaluate inspection capacity and adjust schedules to accommodate additional inspection requests whenever possible. Work closely with the Inspections Manager to manage schedules, operational priorities, and resource allocation. Prepare proposals, contracts, and supporting documentation for inspection services. Oversee invoicing for inspection-related work and assist with billing questions and account reconciliation. Maintain accurate inspection records and administrative reports. Coordinate management of the company vehicle fleet, including maintenance scheduling and record keeping. Administer company-issued mobile phones and related equipment. Receive, review, and process permit and project applications. Verify application information for completeness and determine routing for plan review and fee calculation. Issue permit numbers and prepare project files, records, and fee documentation. Route permit applications to plan reviewers and inspectors. Provide exceptional customer service through professional oral and written communication with jurisdictional clients, contractors, design professionals, and coworkers. Perform other related administrative and operational duties as assigned.
REQUIREMENTS
High school diploma or equivalent required; associate degree or related coursework preferred. Minimum of one (1) year of experience as a Permit Technician, scheduler, administrative coordinator, or in a customer service position with progressively responsible administrative responsibilities. Experience in building permitting, construction, municipal services, inspection coordination, or project administration is preferred. Strong organizational and time management skills with the ability to prioritize competing demands in a fast-paced environment. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite, Google Workspace, and the ability to learn permitting, scheduling, and billing software. Ability to work independently, exercise sound judgment, and establish effective working relationships with clients, inspectors, contractors, and team members.
