The essential function of this full-time professional position is to provide complex and high-level administrative and clerical support. This GM Assistant is responsible for scheduling hearings, case coordination, case research and preparation, and docket management. This position is responsible for handling a high volume of cases and case inquiries, operating a multi-line telephone system, and performing administrative office duties. In addition, this position prepares, tracks, and maintains statistical reports and correspondence. This position involves communication and interaction with judges and judicial staff, pro-se litigants, attorneys and their staff, case managers, clerks, as well as the public. This position works independently under general supervision, following procedures and instruction provided by leadership.

  • Coordinates motions and pleadings by contacting parties to set in-person and virtual hearings.
  • Reviews electronic case files for accuracy, format compliance, and completeness to ensure the presence of all required documents; and maintains trial dockets, continuances, and orders.
  • Prepares and distributes notices of hearings for cases. 
  • Prepares and maintains the General Magistrate's court and professional calendar; schedules and coordinates motions, hearings, and conferences; and provides general guidance for the filing of motions and scheduling of hearing dates. 
  • Assists with the coordination of court services such as foreign language interpreters and ADA accommodations.
  • Assists with the verification of case law citations on all memoranda.
  • Develop work methods to ensure seamless calendaring and tracking of cases.
Minimum Requirements:

High school diploma or GED and two years of college or vocational school education in paralegal, secretarial skills, computer operations, or a closely related field.

Knowledge, Skills and Abilities:

Basic knowledge of court operations. Ability to coordinate court activities with various agencies involved when scheduling court events. Ability to communicate effectively in writing and orally. Ability to use the Internet; Microsoft Word, Excel, Outlook; virtual platforms, such as Zoom; and other computer applications as required. This State-funded position is paid monthly and includes the State of Florida benefits package. The successful applicant is required to undergo a background check including fingerprinting.
