Job Description
Correctional Records Technician (CRT) Washington State Penitentiary (WSP)
Note:
This recruitment may be used to fill future vacancies that may occur.- The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of Correctional Records Technician at the Washington State Penitentiary.
Duty:
Review and verify incarcerated individual sentence structure and criminal history information .Tasks include:
Ensure the contents of incarcerated individual records are legal, accurate, and maintained in a secure setting . Review and verify accuracy of legal documents relating to convictions and sentencing. Establish and validate agency jurisdiction of incarcerated individuals . Verify electronic database information against source documents and resolve problems that relate to the incarcerated individual sentencing. Verify identification of incarcerated individuals to law enforcement through pictures, fingerprints, and other physical data.Duty:
Prepare incarcerated individual release documents and complete required notifications. Maintain electronic and physical files .Tasks include:
Ensure the sentence structure and release is accurate, prepare all release documents, obtain release transportation arrangements, complete required notifications for release. Utilize, update, and maintain databases and programs containing information relative to incarcerated individuals' conviction, sentence, and violation history. Registers eligible sex offenders and kidnapping individuals prior to release; Enter information into the Department's electronic incarcerated individual database . Archive incarcerated individual records according to established procedures. Maintain confidentiality of information protected by agency policy or federal or state laws. Process Upcoming Transfers to Partial Confinement Run Wants/Warrants, complete timely Law Enforcement and Victim Witness notifications, chrono, prepare Valuables Envelope for Transfer Desk CRT, Update ID.Duty:
Provide effective communication and thorough and timely request processing.Tasks include:
Respond to requests for public disclosure in compliance with federal and state public disclosure laws. Testify in court as an expert witness regarding the validity of incarcerated individual records and identity. Provide direct support to the Correctional Records Supervisor and all other Records staff. Complete Central File Reviews with incarcerated individuals. Prepares central files for review by the incarcerated individuals, attorney, or third party in accordance with applicable RCW's. Determines disclosable and non-disclosable materials based on RCW and who is viewing the file. Conducts file review with the requestor; Correspond with appropriate court or other legal staff to resolve sentence discrepancies or other issues related to the structure of the incarcerated individuals sentence. Coordinates transportation of incarcerated individuals for court appearances, transfers and releases; Complete appropriate incarcerated individual records paperwork affecting custody and release as required and within established timeframes. Reviews, evaluates, and responds to incarcerated individual's resolution requests as assigned; Completing investigation for level 1 resolutions, completing interview with individual, completing documentation from investigation. Complete Department of Licensing ID's. Receive request, place on callout, update photo using DOL standards, obtain signature at DOL standard, update and finalize the DOL application. Meet with incarcerated individuals and explain records processes and paperwork as appropriate. Respond professionally and appropriately to all correspondence.Duty:
All Other Tasks Assigned Tasks include: Responding to requests/questions from court, law enforcement agencies, incarcerated individuals, staff and the public. Make incarcerated individual and staff ID cards. Complete fingerprinting for incarcerated individuals and staff according to facility processes. Comply with requests from the chain of command involving facility operations.Required Qualifications:
High School Diploma or equivalent One year of clerical experience. Must respect and maintain confidentiality. Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies. Demonstrated ability to analyze and solve problems under highly stressful or adverse situations. Preferred/Desired Qualifications:
Two years of experience maintaining or processing Incarcerated Individuals records, such as legal files, property files, grievance files, administrative files, medical files, parole files, counselor or custody files, in governmental law enforcement office, court setting or and adult or juvenile correctional agency. College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute for one year of experience.
