  • Immigration Law Office (San Diego) About the Role As a Mail Clerk , you will be responsible for the daily review, organization, documentation, and coordination of incoming & outbound mail and correspondence.
You will play an important role in ensuring that all mail, legal notices, and client-related documents are properly identified, documented, delivered to the appropriate department, and followed up on in a timely manner. Your responsibilities will include reviewing incoming correspondence from agencies and courts, including USCIS, EOIR, immigration courts, and other government agencies , as well as other incoming correspondence from government agencies and other official entities regarding operational, office management, and legal matters. Additionally you will be managing client correspondence, courier deliveries, certified documents, checks, and other important legal documentation. A key part of this role will be ensuring that the appropriate follow-up tasks and reminders are assigned to the corresponding team members so that all required actions are completed accurately and on time. Core Responsibilities Review incoming mail, correspondence, packages, and legal documentation on a daily basis. Receive, sort, and organize incoming mail and filing packages. Review and identify important correspondence from USCIS, EOIR, immigration courts, government agencies, clients, and other third parties. Verify front desk daily accurate uploads, file naming convention and organize documents in the appropriate digital systems and client files. Ensure all incoming correspondence and documentation is accurately recorded and documented. Distribute and route mail and important documents to the appropriate members and departments. Create and assign follow-up tasks to the appropriate team members based on the content and required action for each document or notice. Set reminders and monitor follow-up tasks to help ensure required actions are completed accurately and on time. Notify the appropriate team members of important, urgent, or time-sensitive correspondence. Coordinate the delivery of relevant documents and correspondence to clients when necessary. Maintain accurate records of mail, deliveries, and important correspondence. Handle certified mail, legal notices, court documents, checks, and other sensitive or important documentation with accuracy and confidentiality. Prepare and coordinate outgoing mail, shipments, and courier deliveries as needed. Assist with the use and coordination of postage machines, shipping services, and courier platforms. Track outgoing shipments and maintain records of deliveries when applicable. Assist with scanning, filing, organizing, and maintaining digital documentation. Ensure documents and correspondence are delivered to the correct department and properly recorded in the firm's systems. Work closely with legal staff and other departments to identify missing information or required follow-up actions. Maintain confidentiality and follow all internal procedures for handling sensitive client and legal information. Strong attention to detail and accuracy. Ability to review and manage a high volume of correspondence and documentation. Clear and professional written and verbal English and Spanish communication skills. Ability to prioritize urgent and time-sensitive matters appropriately. Strong ability to follow procedures and maintain accurate records. Proactive, resourceful, and responsive. Ability to work independently while collaborating effectively with a remote team. Comfortable using technology, digital filing systems, and task-management software. Experience with G-Suite, PDF editing tools, document management systems, and task-tracking software is preferred. Previous administrative, legal support, mailroom, or document management experience is preferred. Experience working with USCIS, EOIR, immigration court correspondence, or legal documentation is a plus. Ability to maintain confidentiality and manage sensitive client and legal information.
