Job Description
Legal Assistant/Law Clerk Miami, Florida Boutique Miami law firm with over 25 years of experience representing clients in family and matrimonial law, mediation, intellectual property, and real estate matters. We are seeking a professional, organized, and friendly Legal Assistant/Law Clerk to join our team. This person will be the first point of contact for many of our clients and prospective clients and should be comfortable working in a busy legal office where professionalism, discretion, and attention to detail are extremely important. Because many of our clients communicate in both English and Spanish, bilingual English/Spanish applicants are strongly preferred. Responsibilities Answer and manage incoming telephone calls in a professional and courteous manner Take detailed and accurate telephone messages and route calls to the appropriate staff member Communicate with current and prospective clients regarding scheduling and basic administrative matters Calendar all upcoming hearings, meetings, deadlines, and other important dates, and schedule appointments and consultations with clients Use Clio practice-management software to open new client matters, enter and update client information, calendar important dates, and assist with monitoring billing and account information Prepare retainer agreements, client information forms, and other new-client intake documents Assist the firm's accountant with client payments, including securely collecting payment information and maintaining accurate payment records Assist with new-client intake and collection of basic client information Scan, copy, print, save, and organize client documents and files Assist with maintaining electronic and physical client files Prepare and format basic correspondence and administrative documents Assist attorneys, paralegals, and legal staff with day-to-day administrative tasks Handle confidential client information with discretion Qualifications Fluent or highly proficient in English; bilingual English/Spanish strongly preferred Professional, friendly, and comfortable interacting with clients Strong organizational skills and attention to detail Ability to accurately take messages and follow through on assignments Ability to prioritize multiple tasks in a busy office environment Dependable, punctual, and responsible Comfortable working with confidential and sensitive information Proficiency with Microsoft Outlook, Word, and general computer applications Comfortable using email, calendars, scanners, printers, and electronic filing systems Prior professional office experience preferred Prior law firm experience is a plus, but not required Familiarity with legal practice-management software such as Clio is a plus What We Are Looking For The ideal candidate is someone who is warm and professional with clients, organized behind the scenes, and proactive about keeping the office running smoothly .
