DESCRIPTION
The duties and responsibilities of the Judicial Clerk II may include any or all of the following job functions.
EXAMPLES OF WORK
Performs administrative work to include but not limited to: closing cases, mail handling and postage authorized through stamp.com, assisting parties in Zoom hearings, administrative liaison duties for the district office, ordering office supplies, changing the server back-up tape daily, processing CD requests for hearing recordings, performing annual inventory of office equipment, assisting the public with Wi-Fi access, providing notary services, scanning documents, and greeting the general public and directing them to the appropriate rooms. Reviews mediation reports and determines events to be scheduled to address outstanding claims or dismissal of PFBs; maintains all final hearing orders for the JCC; Prepares and confirms hearings, meetings, and other JCC events on the calendar; Scans paper files into PDF format and electronically uploads to docket; Verifies accuracy of JCC list of documentary exhibits in compensation orders and final evidentiary orders and suggests corrections; and monitors for docket and calendar accuracy. Generates notices of pretrial through JCC Application, generates notices of final hearing through JCC Application, generates subpoenas for pro se litigants upon request, emails parties regarding missing documents or trial summaries, emails parties regarding missing documentation for motions or stipulations, generates orders on motions to continue mediation, generates cancellation hearing orders upon receipt of vol. dismissal/notice of cancellation, generates motion orders daily, generates show cause orders, generates orders of consolidation, generates notices to counsel, schedules Zoom Conferences, and generates proposed orders per JCC's request. Performs mail and e-filing duties. Performs scheduling functions to include communication with outside offices, and as liaison between the OJCC office and Expert Medical Advisor offices. Answers telephone calls and coordinates different dates for rescheduling of hearings. Develops and maintains a system for tracking and monitoring deadlines re: responses to motions, orders, EMA reports, and other deadlines. Performs other administrative, docket management, document generation, mail/e-filing, petition processing, scheduling, telephonic, and appellate functions as required.
KNOWLEDGE, SKILLS & ABILITIES
Knowledge of computer navigation; Ability to work and collaborate in a team environment; Ability to communicate effectively verbally and in writing; and Ability to organize work and effectively manage one's time.
REQUIRED QUALIFICATIONS
Must possess a high school diploma or the equivalent.
PREFERRED QUALIFICATIONS
Experience in a Legal setting is preferred. Successful completion of Level 2 background screening is required for all positions with the Division of Administrative Hearings. Support of knowledge, skills, and abilities should be demonstrated on the application, in the education, in the work experience, in the interview and/or during reference checks.
