We are seeking an organized and client-focused Intake Specialist to serve as the first point of contact for individuals and businesses seeking legal assistance. As an Intake Specialist you will manage new client inquiries, gather essential information, screen potential matters, coordinate scheduling consultations, and ensure a seamless onboarding process for new clients. The ideal candidate will have excellent communication skills, exhibit a high degree of professionalism, and the ability to build rapport with prospective clients during what may be a stressful time in their lives. What You'll Do Answer incoming telephone calls, emails, and website inquiries from prospective clients. Engage in responsive initial contact to gather detailed information regarding potential legal matters. Evaluate inquiries using firmestablished intake criteria and route matters to the appropriate attorney or practice group. Enter and maintain accurate information within the firm's case management and CRM systems. Coordinate conflict checks prior to scheduling consultations. Maintain detailed records of all inquiries, consultations, and referral sources. Ensure timely communication with prospective clients. Collaborate with attorneys, paralegals, legal assistants, and administrative staff to facilitate client onboarding. Assist with marketing and referral tracking initiatives. Maintain confidentiality of all client information. Perform other administrative duties as assigned. What We're Looking For High school diploma or equivalent. Minimum of two years of customer service, intake, administrative, or legal office experience. Excellent verbal and written communication skills. Strong interpersonal skills with a compassionate and professional demeanor. Exceptional organizational and timemanagement abilities. Ability to multitask and prioritize in a fastpaced environment. Proficiency in Microsoft Office (Word, Outlook, Excel). Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment. Nice-to-Haves Experience with Filevine Experience in a law firm or other professional services environment. Familiarity with legal terminology and legal processes. Bachelor's degree, associate degree, or paralegal/legal assistant certificate.
