Primary Responsibilities Manage all client files from date assigned through resolution or transfer to litigation, ensuring proper file handling according to attorney directive and standard office procedures. - Communicate with clients every 30 days, noting all client communications within the Case Notes/Contact section in Filevine. Keeping clients informed of the status of their case and any key milestones. Please show empathy and compassion when talking with clients.
- Answer all calls promptly, professionally, and with a friendly greeting remembering you are always a Long & Long ambassador.
- If Client has a pending bankruptcy, closed or discharged case, communicate with the client how this may affect their case.
- Return all incoming calls/emails/text messages from clients within 24 business hours.
Return all calls/emails to providers and insurance adjusters within 48 business hours. Key Outcomes/KPI 1. All new clients are contacted by the Case Manager within 24 business hours of the case being assigned to their legal team. 2. All Clients are contacted once a month and given an update. 2. - Initial file review to determine any key missing information prior to the first call to the client. On the initial call, confirm treatment status with the client. Input all medical providers in Filevine and confirm the correct provider's address.
- Confirm SOL for liability and UIM policies .
- Confirm conflict check is in the file.
- Confirm auto and med-pay insurance coverage within 30 days, note all coverages and applicable insurance limits in Filevine. If coverage is not established within 30 days, meet with the assigned attorney to determine the next step of the case.
- Confirm all health insurance coverage within 30 days and mark "initial lien task flow" in Filevine.
- Confirm property damage claim has been resolved. Please explain to the clients that the property adjuster will aid, but that we are always here to provide additional assistance if needed.
- All initial medical records and bills requested within 30 days of insurance being confirmed. Initial medical records and bills include ambulance, Life Flight, hospital, emergency physician, radiology, treating physician, and pharmacy.
- Confirm medical providers have billed the client's health insurance and if not submitted send bill health letter under the medical tab in Filevine. Please be mindful of the health insurance timely filing periods are different.
- Review case with Attorney to determine if the initial medical records/bills request should be certified.
- Confirm if TriMed or ASF has been added to the lien section in Filevine.
- If the file was referred to Long & Long, add referring attorney in lien section in Filevine.
- Verify all automobile accident searches are done on client and tortfeasor. (ALEA search).
- When the client has completed treatment or reached Maximum Medical Improvement (MMI), request all final medical records and bills within seven (7) days.
- Again, review SOL to provide adequate time to send demand documents and begin Negotiations.
- Review case with Attorney to determine if the final medical records/bills request should be certified.
- When necessary, authorize medical treatment and diagnostic tests, within 48 hours of a request from providers.
- Complete a bankruptcy search for client.
- Maintain timely responses with adjusters.
- If the client has a lost wage (LW) claim, request and obtain all LW supporting documentation within 45 days from when the client advises they have returned to work. Calculate the value of the client's LW claim and enter amount and document in Filevine.
- Completion of medical summary and chronology on files as directed by Attorney.
- Review all medical records within 7 days of being received and confirm client's health insurance has made payments.
- All demands are submitted within 14 days of all records and bills being received and generate demand task flow in Filevine.
- Generate Negotiation Memo in Filevine under "Demand Memo" and select "Negotiation/Demand Memo." Attorney to review the Negotiation Memo and initial before submitting the demand documents to the adjuster.
- Monitor any client loans and review with the Attorney, if needed. Also, add accrued interest to the loans in Filevine.
- Confirm no loans are given to parents in minor cases.
- Monitor case expenses and client medical bills, ensuring that medicals and case expenses are under 1/3 of known policy limits. If medical bills exceed 1/3 of known policy limits, discuss sending demand with the attorney or transfer to litigation.
- Add all negotiation offers and generate task flow in Filevine.
- Prepare draft Settlement Disbursement Statement (SDS) and confirm all updated liens and medical providers' balances.
- Confirm all balance verifications have been received and all updated health insurance liens and loan amounts.
- Review all offers with Attorney and respond within 7 days with a counteroffer, attorney phone call, or prepare file for "lit review" to review in attorney litigation meeting or change phase "to be filed."
- Review Filevine Feed and Incomplete Task daily. Review Expired Incomplete Task Report and resolve expired tasks. Expired tasks should not exceed 50 outstanding tasks.
- Mindful of Liability and UIM SOL on all cases and ensure the attorney is reminded six (6) months prior to SOL.

weekly as an overview and reminder of Client Contact Needed, SOL, Demand Prep, Settlements, etc.
- Before liability settlement, review the file to see if a consent to settle request should be sent to UIM and confirm UIM SOL with Attorney.
SETTLEMENTS
- When a claim is settled, send a letter of acceptance to the insurance company immediately and add settlement in the Insurance and Settle/Trust Account section in Filevine.
- Generate a draft SDS for the Attorney's review.
Confirm attorney added client settlement authority and details of settlement in the Insurance section and Case Notes in Filevine. Make sure all case expenses are entered into Filevine. Request final liens (i.e. health insurance, TriMed, Oasis, hospitals, bankruptcy, child support) and any medical provider reductions. Confirm again with the Attorney if the case was referred to Long & Long from another attorney. Check the status of the settlement check and confirm the check has been received in a timely manner.
- Generate client Bankruptcy search.
- Prepare the final settlement disbursement statement (SDS), attach all final liens and have the attorney review and sign.
If needed, if the Attorney determines his attorney's fees will need to be reduced, confirm the Attorney has received authority from the COO and attach said email to the final SDS. Upload final SDS (with attorney's signature) and documents to the Settlement/Trust Acct in Filevine. Add task in Filevine for the settlement disbursement.
- Schedule meeting with client and attorney to review and endorse final SDS and Release, and attend meeting.
- Request client to leave a Google review.
- If we are sending a check to a medical provider and/or lien holder, confirm payment address. The accounting department will prepare letters and mail checks for the medical providers, liens, etc.
- If a check to a medical provider or lien holder is in the amount of $5,000 or more, add USPS priority postage to the case expenses.
- All tasks are completed.
- Close file within 2-3 days from final disbursement.

Three (3) Demands sent to the insurance company by the end of each week. 7. Files in the Negotiations phase have a counter demand or strategic plan within fourteen (14) days of last received offer. 8. Google Reviews must be received on every settlement and entered in Filevine under "Case Note/Contact" and "Google Review". If you are unable receive a Google Review, please add in Filevine the reason why a review was not given. 9. Closed file within 2-3 days of final disbursement. Transferring File to Litigation

- Ensure all correspondence/documents are accurately named in Filevine and all records/bills to date have been requested/received.
- Verify all values are accurate in Filevine for bills and costs.
- Complete Pre-lit to Litigation Checklist.
- Update medical summary, if needed.
- Coordinate communication with the client, their current legal team, and the new legal team to ensure a smooth transition.
- Confirm all Filevine sections are accurate and complete.
Any special circumstances or issues are communicated to the Litigation Team.
