Part-Time Receptionist

JOB SUMMARY

The incumbent, under the direction of the City Prosecutor, is responsible for providing a wide range of administrative duties in support of the City Prosecutor's office.

ESSENTIAL DUTIES/RESPONSIBILITIES
Note:

All City of Fort Smith positions require the employee to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees, and have regular and reliable attendance that is non-disruptive. Must show cooperation and respect to fellow employees and supervisors at all times. All other duties as assigned by the immediate supervisor and/or department director. Provide administrative support for the City Prosecutor, and staff of the department. Answer phone, greet visitors and open/distribute mail. Type letters, memos, forms and other correspondence as requested or needed. Assist in providing, obtaining, organizing, and updating Affidavits for Warrants of Arrest from Law Enforcement, and victims for the department. Provide information to the public by answering questions and requests. Assist in the coordination of meetings and communication with visitors, vendors and agencies on behalf of the City Prosecutor. Communicate with department heads and other City staff on a regular basis in order to share information as needed. Assist in the maintenance of the Calendar for the City Prosecutor's Office. Assist in file maintenance and reporting for the City Prosecutor's Office.

QUALIFICATION REQUIREMENTS

Possess a valid driver's license Experience in Microsoft Suite, including Teams. Preferred Qualifications None

OTHER SKILLS AND ABILITIES

The incumbent should possess proficiency and technical aptitude with the ability to use Microsoft products, including PowerPoint, Word, Excel, Teams. Excellent computer skills and knowledge of word processing and spreadsheet programs. Excellent verbal and written communication skills as well as excellent organizational skills. Problem solving and analytical ability. Excellent interpersonal skills. Knowledge of modern office practices, procedures and equipment.

POSITION DESIGNATIONS

This position is not designated as essential during inclement weather events. City services will be maintained during inclement weather, such as heavy snow or ice storms and all essential employees are expected to report to work due to the critical functions of the position. This position is not able to work remotely. This position does have the potential to drive as part of their regular job duties. This position is designated as a safety/security sensitive position and is subject to random DOT drug and alcohol screenings and/or non-DOT drug and alcohol screenings (a safety/security sensitive position is one in which a momentary lapse in attention may result in injury or death of another person).

While performing the duties of this job, the employee must frequently stand, walk, talk and hear. Occasionally sit, use hands to finger, handle or feel objects. WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal working conditions found within an office setting, wherein there is controlled temperature plus a minimum of distractions. Scheduled work hours 29 hours per week, 5 days per week.
