As our Senior Legal Coordinator, you will be the central point of contact for the legal actions, regulatory complaints, and insurance matters that come out of our property operations. About the role

FLSA Status:
Non-Exempt You will manage and track property-related injury claims, unlawful detainers, and complaints filed with the California Civil Rights Department (CRD) under the Fair Employment and Housing Act (FEHA), along with the company's property insurance coverage and policies. You will work directly with our tenant/landlord legal counsel, insurance carriers, regulatory agencies, and external insurance counsel, and make sure every matter is documented, tracked, and moving forward. You will also report on claim status to our Chief Executive Officer and give informal guidance to the Legal Coordinator, a peer who reports to the same leader you do. What you'll do Serve as the first point of contact for incoming legal actions and complaints, including injury claims, unlawful detainers, and
CRD/FEHA
complaints. Track every claim and case from start to finish, and keep a system for deadlines, action items, and follow-ups so nothing slips. Work with insurance carriers and adjusters on injury claims, making sure documentation is submitted and tracked, and keep internal teams updated on status.
Maintain the insurance coverage database:
confirm policies are in force across the portfolio, track renewal dates, confirm premium invoices are paid, and keep certificates of insurance current. Communicate with regulatory agencies, outside counsel, and other involved parties, and build strong working relationships with adjusters, attorneys, and government agencies. Keep all legal and insurance records complete, confidential, and organized in our centralized case management database. Research laws, policies, and insurance procedures to support claims, litigation, and regulatory matters, and help ensure matters are handled in line with housing laws, regulations, and company policy. Prepare regular reports on open claims and legal actions for the CEO and senior management. Guide and support the Legal Coordinator, share knowledge so matters are handled consistently, and provide additional administrative support to the COO and legal team as needed. What you'll bring Required A paralegal certificate from an accredited institution, or equivalent work experience. At least 2 years in a paralegal or legal support role, preferably in real estate, property management, or housing law. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Strong working knowledge of legal terminology, property management practices, and housing laws. Preferred Experience with insurance claims, unlawful detainers (evictions), and CRD complaints. Experience leading, training, or mentoring a team member. Experience with property management software such as Yardi. Skills that will help you succeed Strong organization and the ability to prioritize and manage many cases at once. Excellent written and verbal communication, including with attorneys, adjusters, and government agencies. Close attention to detail with deadlines and legal documentation. Sound judgment, professionalism, and a firm commitment to confidentiality. The ability to work independently and as part of a team, and to guide a colleague without formal supervisory authority. Work environment This is primarily an office-based position with extended periods of computer work, frequent phone and email communication, and regular handling of confidential legal and insurance records.
