Location Dahlonega Job Summary The University of North Georgia is currently accepting applications for a Legal Services Specialist & Assistant to Office of General Counsel. The Legal Services Specialist & Assistant to General Counsel serves as the departmental specialist for legal services operations within the Office of General Counsel. Reporting to the General Counsel and working collaboratively with departmental colleagues and internal and external OGC clients, this position provides wide-ranging operational support for all functions of legal services, as well as administrative support to all five departments within the Office of the General Counsel (Legal, Clery/Regulatory Risk for Youth Programs, Risk Management, Privacy, and Policy) and the Internal Auditor. This position requires a background check and credit check for issuance of a purchasing card and at time of Pcard renewal (per O.C.G.A. § 50-5-83). Responsibilities Legal Services Specialist for Departmental Contract Operations Provides advanced contract coordination and management for Legal department, to include management of software contracts and university template agreements. Manages collection of BPM3.4.4-required documents for software purchases and renewals. Reviews and facilitates execution of OGC-developed template agreements, administrative review and reporting on non-template agreements, and execution of all OGC-reviewed contracts through DocuSign or other approved execution methods. Provides advanced administrative support through professional correspondence and communication with internal clients and external vendors in contract review, negotiation, execution, and renewal processes. Maintains privacy and confidentiality of sensitive matters with professionalism at all times. Legal Services Specialist for Non-Contract Operations Provides advanced administrative support through professional correspondence and communication with external parties on requests that are sensitive and confidential in nature. Assist OGC attorneys and paralegals with document collection, organization, and production for subpoenas, third-party records requests, litigation matters, and Open Records matters. Manages OGC's record and file management systems, including matter management, document management, and software management platforms. Supports maintenance of confidential files and reports. Assists with compiling data and entering information for assessment reports and annual reports. In collaboration with appropriate Legal department personnel, documents, maintains, and regularly reviews and updates internal departmental processes. Maintains privacy and confidentiality of sensitive matters with professionalism at all times. General Administrative Assistance & Budgetary Support Manages General Counsel's calendar by scheduling appointments, gathering appropriate documents and monitoring schedules to ensure appointments do not overlap. Maintains and updates as needed lists of all internal and external contacts to facilitate meetings. Prepares meeting presentations and documents as needed by OGC. Provides general administrative and budgetary support for the Legal, Director of Regulatory Risk for Youth Programs & Clery Officer, Director of Risk Management & Custodian of Records, Policy & Procedure Coordinator, Privacy Officer, and Internal Auditor. Arranges travel, processes registrations for trainings/conferences, tracks memberships/subscriptions, purchases supplies, prepares requisitions, and reconciles monthly p-card expenses. Performs other related duties as assigned by General Counsel. Knowledge, Skills, and Abilities Strong attention to detail and organizational skills. Proficiency in Microsoft Office, Adobe, and document management systems. Ability to communicate and interact professionally with attorneys, executives, employees, and external stakeholders. Required Qualifications Bachelor's Degree required Three+ years administrative experience required, preferably as assistant to C-Suite or VP level leader and with focus in departmental operations support. Preferred Qualifications Coursework, certificate, or training in legal services, records management, contract administration, compliance or related area preferred. Experience providing support in a law office, legal department, governmental agency, court system, compliance office, risk management office, or similar professional environment preferred.
