We are looking for a professional, compassionate, and motivated Legal Intake Specialist to join our team. Position Overview The Legal Intake Specialist is often the first point of contact for potential clients and plays an important role in creating a positive first impression of our firm. This position is responsible for speaking with prospective clients, gathering detailed information regarding potential personal injury claims, maintaining accurate intake records, following up with leads, preparing information for attorney review, and helping qualified prospective clients move smoothly through the intake and onboarding process. The ideal candidate is an excellent communicator who is organized, detail-oriented, compassionate, and comfortable speaking with individuals who may be injured, overwhelmed, or unfamiliar with the legal process. Key Responsibilities Respond to incoming calls, emails, texts, and online inquiries from prospective clients. Gather and accurately document information regarding accidents, injuries, medical treatment, insurance, and other relevant details. Provide compassionate and professional communication while explaining the firm's intake process. Prepare potential client information for attorney review and promptly follow up on intake decisions. Schedule consultations and prepare intake and engagement documents. Maintain accurate client information, notes, documents, and follow-up activities in the firm's case-management system. Follow up consistently with prospective and newly retained clients to ensure a smooth transition into the firm. Qualifications & Skills Prior experience in legal intake, customer service, client relations, sales, or a call-center environment preferred. Previous law firm or personal injury experience is a plus. Excellent verbal and written communication skills. Strong active-listening and interpersonal skills. Ability to communicate with empathy, patience, and professionalism. Strong attention to detail and organizational skills. Comfortable handling a high volume of calls, messages, and follow-up tasks. Ability to manage multiple priorities in a fast-paced environment. Strong computer skills and ability to learn case-management and CRM software. Dependable with excellent attendance and punctuality. Ability to maintain confidentiality and handle sensitive client information professionally. Positive, team-oriented attitude and willingness to learn and receive feedback.
