Reports To:
Attorneys Position Summary Nicholson LeTourneau, PLLC is seeking a professional, organized, and personable Legal Receptionist in our personal injury practice to serve as the first point of contact for clients, prospective clients, attorneys, insurance representatives, medical providers, and other individuals contacting the firm. The Legal Receptionist will provide excellent customer service while supporting the day-to-day administrative operations of the office. The ideal candidate is dependable, detail-oriented, compassionate, and comfortable working in a fast-paced personal injury law practice. Because our clients are often dealing with significant injuries and stressful circumstances, the ability to communicate professionally and empathetically is essential. Key Responsibilities Client Intake & Reception Greet clients and visitors with professionalism Answer and route incoming phone calls and emails, including initial inquiries from potential personal injury clients Conduct preliminary client intakes and gather basic accident and injury information Schedule consultations and meetings Maintain strict confidentiality of client and medical information Personal Injury Case Support Open and maintain electronic personal injury case files Request, track, and organize medical records, medical bills, police reports, and insurance documentation Assist with preparation of demand packages, correspondence, and discovery materials Track treatment status and follow up with providers and clients as needed Communicate professionally with clients, insurance adjusters, and medical providers Administrative & Office Support Manage incoming and outgoing mail, faxes, and electronic communications Maintain calendars for deadlines, appointments, and court dates Prepare, proofread, and format legal documents and correspondence Assist with lien tracking, settlement documentation, and file closing Order office supplies and support general office operations Billing & File Management Assist with case expense tracking and billing support Scan, organize, and index records into case management software Ensure files are complete and organized for settlement or litigation Qualifications & Skills High school diploma or equivalent required; associate's degree or legal studies coursework preferred Prior experience in a personal injury law firm or medical-records-heavy environment preferred Strong organizational skills and attention to detail Excellent communication and client-service skills Ability to handle sensitive and emotional client situations with professionalism Proficiency with Microsoft Office and legal case management software Ability to multitask and manage deadlines effectively Ideal Candidate Traits Compassionate and client-focused Reliable, sense of humor, punctual, and detail-oriented Comfortable speaking with injured clients and insurance representatives Able to work independently while supporting a team environment Compensation & Benefits Competitive pay based on experience ranging from $21-27 per hour. For full time employees - health insurance stipend, PTO, 12 Paid Holidays Employee will be eligible for a generous performance-based bonus tied to the overall success and profitability of the firm.
