Job Description

Job Summary The Plaintiff Relations Specialist supports the Plaintiff Relations team by helping manage plaintiff information, documentation, and communications throughout the lifecycle of a case. This role is responsible for maintaining accurate, complete, and well-organized plaintiff records and ensuring that important information is properly documented and available to support legal and operational activities. Serving as a key connection between client-facing functions and legal operations, the Plaintiff Relations Specialist monitors plaintiff status, identifies missing information or potential disqualifying issues, and communicates relevant updates to appropriate departments. The position also supports client outreach, document management, internal communications, data reconciliation, and workflow coordination. Success in this role requires strong attention to detail, professional communication skills, excellent organization, and the ability to manage multiple priorities in a fast-paced environment. Minimum Knowledge, Skills, Experience Required Education High School Diploma or GED required. Experience Previous experience in customer service, data entry, records management, administrative support, or a similar role required. Experience working in a legal, professional services, or highly regulated environment is preferred. Comparable combinations of education, training, and relevant professional experience will be considered. Additional Skills/Abilities Strong data entry, records management, and document organization skills. Excellent written and verbal communication skills. Strong customer service skills and the ability to communicate professionally and compassionately with plaintiffs, clients, and team members. Ability to organize, prioritize, track, and follow up on multiple assignments and communications. Strong attention to detail with an emphasis on accuracy, consistency, and completeness. Ability to identify missing information, discrepancies, and workflow issues and communicate them appropriately. Intermediate proficiency with Microsoft Excel. Proficiency with Microsoft Word, Outlook, Teams, SharePoint, and other office productivity software. Experience with Adobe Acrobat and electronic document management. Experience with legal case-management or client-management platforms preferred. Experience managing high-volume email, text, mail, or other mass communications preferred. Familiarity with Mailchimp or similar communication platforms preferred. Experience documenting workflows or drafting Standard Operating Procedures (SOPs) preferred. Familiarity with electronic discovery (ESI), document review, deposition preparation, or other litigation-support activities is a plus. Ability to maintain confidentiality and appropriately handle sensitive client, legal, and personal information. Ability to work collaboratively across departments and adapt to changing priorities. Key Responsibilities / Essential Functions Maintain accurate, complete, and organized plaintiff information across applicable case-management, document-management, and tracking systems. Monitor plaintiff records for missing information, documentation deficiencies, status changes, and potential disqualifying issues and communicate findings to appropriate team members. Conduct plaintiff and client outreach, including follow-up with non-responsive individuals and requests for missing information or documentation. Track communications, responses, reminders, outstanding items, and follow-up activities to support timely resolution of client needs. Maintain and support team task-management systems, including SharePoint-based workflows, trackers, and other organizational tools. Manage background-check authorization processes across applicable matters or sites, including outreach, tracking, documentation, receipt, and filing of completed authorizations or results. Assist with data audits, reconciliation, and transfers between systems to help maintain accurate and consistent records. Organize, prepare, distribute, and maintain documents using Adobe and other document-management platforms. Support firm-wide and project-specific mass communications through email, text, mail, and other approved communication channels. Maintain communication logs and tracking tools using spreadsheets, Mailchimp, sent-mail records, and other applicable systems. Support scheduling and coordination for documentary filming, field activities, training, onboarding, and other projects as needed. Prepare and distribute client outreach materials, postcards, announcements, and other informational or marketing materials. Assist with Discovery ESI document review and maintain associated files and records in an organized manner. Provide administrative and organizational support for deposition preparation and related litigation activities as needed. Develop, update, and document Standard Operating Procedures (SOPs) and task instructions to promote consistency and efficiency. Assist with training and onboarding activities related to assigned workflows and systems. Coordinate with Plaintiff Relations, legal teams, and other departments to ensure important plaintiff updates and documentation needs are addressed promptly. Maintain confidentiality and follow established procedures for handling sensitive plaintiff, client, and legal information. Provide general administrative, communication, records-management, and data-entry support as needed to maintain team efficiency and accuracy. Perform other duties as assigned.
