Intake Specialist Vindex Law Job Summary Vindex Law is seeking a professional, organized, and detail-oriented Intake Specialist to join our legal team. The Intake Specialist will serve as one of the first points of contact for individuals seeking legal representation. This position is responsible for communicating with prospective clients, gathering relevant information regarding their legal concerns, and assisting attorneys with the initial evaluation of potential cases. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to handle sensitive and confidential information with professionalism, compassion, and discretion. Responsibilities Serve as the initial point of contact for prospective clients contacting the firm by phone or email. Gather, document, and organize information necessary for attorneys to evaluate prospective cases. Prepare detailed and accurate intake summaries for attorney review. Communicate professionally and compassionately with individuals who may be experiencing difficult or stressful circumstances. Identify and document important case details, including incident dates, involved parties, relevant events, and available supporting documentation. Maintain accurate and organized electronic records of prospective clients and intake communications. Assist with requesting and collecting relevant documents, records, and other information from prospective clients. Coordinate with attorneys, legal assistants, and other team members regarding new inquiries and potential cases. Follow established intake procedures and ensure information is handled in accordance with firm policies and confidentiality requirements. Maintain timely and professional follow-up communications with prospective clients as directed. Perform additional administrative duties as needed to support the legal team. Qualifications Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to conduct professional and empathetic conversations with individuals from diverse backgrounds. Ability to gather sensitive information while maintaining professionalism and confidentiality. Strong time-management skills and the ability to manage multiple inquiries simultaneously. Proficiency in Apple/Mac, Gmail, casenet, and other electronic recordkeeping systems. Ability to work independently while also collaborating effectively with a legal team. Previous experience in a law firm, legal intake, customer service, administrative support, or a related field is preferred but not required. Familiarity with legal terminology and the client intake process is a plus. They should be comfortable asking detailed questions, documenting information accurately, and communicating with prospective clients in a professional and respectful manner. A successful candidate will understand the importance of confidentiality, accuracy, and making a positive first impression on behalf of the firm. Work Environment This position operates in a professional law firm environment and requires regular communication with prospective clients, attorneys, and other members of the legal team. Position Type Full-time / Part-time Compensation $21 - $24/Hr Benefits Health insurance, paid time off, holidays, retirement benefits.
