The Ethics Administrative Specialist within the Ethics Department is responsible for preparing ethics-related documentation and correspondence while providing support in accordance with the National Board for Certified Counselors (NBCC) and the Center for Credentialing & Education (CCE) policies, processes, and procedures.Essential Duties and Responsibilities:
Supports the Ethics Department functions in accordance with established departmental processes. Conducts comprehensive case-related research relevant to working up/closing out cases in accordance with policies and procedures, laws, and legal and ethical codes. Drafts, reviews, and finalizes outgoing Ethics Department correspondence (e.g., reviews letters for typographical errors, checks organizational database for current addresses, encloses relevant documentation). Ensures all incoming and outgoing communications are appropriately documented and that case files contain complete copies of correspondence, supporting documents, and other relevant materials as appropriate. Performs day-to-day administrative tasks, such as maintaining information files, drafting and typing office memos, and processing paperwork. Tracks and documents follow-up actions appropriately in calendars and ensures that coordinator(s) reviews items, consistent with departmental processes. Manages electronic and hard copy files, ensuring that both are current and maintained consistent with established departmental processes, including database and spreadsheet management. Receives and forwards communications (e.g., telephone calls, faxes, emails) appropriately on a daily basis. Performs other duties as assigned to support the operational needs of the Ethics Department.Required Education/Experience:
High school diploma required. 5 years' experience of related work required. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Strong analytical and problem-solving skills. Ability to prioritize tasks and to delegate them when appropriate. Ability to function well in a high-paced and at times stressful environment. Proficient with Microsoft Office Suite or related software. Ability to work remotely if necessary.Preferred Education/Experience:
Bachelor's or associate degree preferred. Working knowledge of paralegal training and/or certification, counseling field, and or compliance around ethical standards/codes.Equipment/Programs Used:
