This position plays an important role in receiving, processing, documenting, and distributing legal documents and official correspondence on behalf of our clients. The ideal candidate is someone who understands the importance of accuracy, confidentiality, organization, and properly handling time-sensitive documents. This person will be responsible for receiving mail and legal documents, accepting service of process when required, scanning and uploading documents into our internal system, and ensuring that important documents are properly processed and routed. Because our clients rely on us to receive and handle time-sensitive legal and government documents, the ability to stay organized and follow established procedures is essential. Key Responsibilities Receive, open, sort, and process incoming mail and official correspondence on behalf of clients. Receive legal documents and other official notices delivered to the registered agent's office. Accept service of process on behalf of clients in accordance with company procedures. Process service of process immediately upon receipt. Scan legal documents, mail, notices, and correspondence clearly and accurately. Verify that documents are properly scanned and routed accordingly. Identify time-sensitive documents and promptly have them scanned into the system. Monitor and respond to incoming emails in a professional, courteous, and timely manner. Communicate professionally with clients, attorneys, government agencies, process servers, and other third parties. Maintain accurate records of documents received, processed, uploaded, and distributed. Protect confidential client information and handle sensitive documents with discretion. Maintain a clean, organized, and professional mail and intake area. Follow all company procedures for receiving, processing, scanning, uploading, and distributing documents. Qualifications Strong organizational and time-management skills. Exceptional attention to detail. Excellent written and verbal communication skills. Ability to write and respond to emails in a professional manner. Comfortable interacting professionally with clients and third parties. Proficient with computers, email, scanners, Microsoft Office, and web-based systems. Ability to quickly learn and accurately use internal software Ability to handle confidential and sensitive information responsibly. Ability to follow detailed procedures consistently. Reliable, punctual, and dependable. Ability to prioritize urgent and time-sensitive documents.
