Job Description This is an exciting opportunity for a detail-oriented Legal Operations Assistant to provide administrative and project support to the Legal Operations function in a collaborative environment. Reporting to the Legal Ops Manager, this position plays a key role in keeping the department's day to day operations organized. The ideal candidate is organized, discreet, and comfortable juggling multiple deadlines while supporting a small, collaborative legal team.
Essential Job Responsibilities:
  • Provide administrative and project support to the Legal Operations function
  • Review, code, and process outside counsel invoices in accordance with engagement letters, billing guidelines, and legal matter codes; assist with legal billing reports and expense tracking
  • Coordinate incoming and outgoing compliance mail including subpoena responses
  • Support contract administration, including coordinating review, signatures, and filing
  • Support insurance administration, including maintaining policy documentation and coordinating renewals
  • Handle privileged and confidential legal materials with discretion such as legal records, governance documents, and departmental files while following established protocols for access, storage, and distribution Draft correspondence, spreadsheets, reports and presentations

  • 2+ years' experience in legal/compliance related roles
  • High school diploma or equivalent
  • Paralegal certificate or equivalent legal support experience in law departments or law firms
Knowledge, Skills, and Abilities:
  • Excellent organizational skills with exceptional attention to detail.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and PowerPoint.
  • Software proficiency in Oracle and Adobe suite
  • Strong analytical and problem-solving skills.
  • Experience maintaining organized electronic and physical records.
  • Ability to coordinate multiple projects and follow through on action items.
  • Knowledge of legal billing processes, contract administration, document management, and legal records management preferred.
