This role is responsible for the critical management of firm-wide paper and digital communications, ensuring that every piece of client information—whether physical, digital, or virtual—is directed to the correct professional for immediate action. The ideal candidate is a high-level multi-tasker who can transition seamlessly between administrative management and client advocacy, providing essential support to the Managing Attorney and the entire legal team.
Duties Physical Mail:
Retrieve downstairs mail daily; open, sort, and scan all correspondence with 100% accuracy into the digital case file.Virtual Mailbox:
Manage the firm's virtual mailbox by reviewing items and marking them appropriately ( "Open and Scan," "Pick Up," "Shred" ).Subfolder Management:
Save all correspondence, info emails, and faxes into the correct client subfolders.Internal Notification:
Identify and notify the specific person and department of all incoming communications immediately.Client Courtesy:
Promptly notify clients of the receipt of their mail, faxes, or emails to ensure a high-level client experience. Carefully review and execute specific instructions provided via sticky notes and memos on all outbox items. As time permits, assist the Managing Attorney with email management , including screening, informing of urgent matters, and drafting responses on their behalf.Client Advocacy & Greeting:
Offer a compassionate first point of contact for injured clients, managing incoming calls with excellent etiquette and screening new leads.Document & Case Support:
Maintain case files in systems such as iManage and PCLaw, ensuring all medical records, bills, and evidence are filed correctly.Office Maintenance:
Maintain a polished and professional firm environment, including light facility tasks such as regularly taking out the office trash and recycling .Calendar & Meeting Coordination:
Scheduling:
Act as the primary scheduler for the firm; accurately adding meetings and phone calls to the firm calendar and inviting all relevant team members.Pre-Meeting Reminders:
Proactively notify and remind staff members prior to their scheduled phone calls or meetings to ensure they are prepared.Accountability & Follow-up:
Check in with staff after meetings to confirm they were completed and inquire if any follow-up actions, documents, or additional scheduling are required. Experience Previous clerical or legal administrative experience in a Personal Injury firm is highly preferred.Calendar & Workflow Management:
Experience managing shared firm calendars and a proven track record of following up on task completion.High-Volume Processing:
Demonstrated experience in managing physical mail, virtual mailboxes, and central "info" email accounts.Operational Detail:
Ability to follow complex instructions (memos/sticky notes) and manage digital subfolder filing systems.Professional Communication:
Exceptional written and verbal skills; able to remind professionals of tasks firmly but professionally and draft emails for an attorney.Technical Proficiency:
High proficiency in scanning hardware, legal case management systems (e.g., iManage, PCLaw), and digital calendar platforms.
