Job Description

We are looking for a detail-oriented Legal Assistant to support attorneys and legal staff in a Contract position based in Santa Monica, California. This role is ideal for someone who thrives in a busy legal setting, manages competing priorities with professionalism, and handles sensitive information with discretion. The Legal Assistant will play an important part in keeping legal matters organized by coordinating schedules, preparing documents, maintaining records, and assisting with billing and case support.
Responsibilities:
  • Provide confidential administrative and secretarial support to attorneys and other legal professionals while managing a high volume of daily requests.
  • Coordinate calendars, meetings, conference rooms, and related hospitality or technology arrangements for internal and external attendees.
  • Prepare, format, proofread, revise, and organize legal documents, correspondence, and other materials, including document comparisons and dictated content when needed.
  • Maintain accurate electronic and physical client matter files, oversee document indexing, and work with records teams to retrieve and update file information.
  • Process conflict checks, assist with opening new clients and matters, and support ongoing matter administration in line with firm procedures.
  • Enter attorney time, assist with billing review and invoice preparation, and submit expense reimbursements and payment requests accurately and on schedule.
  • Arrange business travel and prepare detailed itineraries for supported attorneys and legal staff.
  • Support litigation activities by assisting with court and electronic filings, legal research, and the review of relevant statutes, cases, and other legal sources.
  • Collaborate with attorneys, administrative colleagues, and shared services teams to meet deadlines, respond to changing priorities, and deliver strong client service.
