Ongoing About the Position Jacobs Law is seeking an organized, dependable, and highly trainable Entry Level Legal Administrative Assistant to support our personal injury practice. This is an entry-level position. Previous law firm or personal injury experience is not required. We are looking for someone who is eager to learn, follows instructions carefully, takes pride in accurate work, and can become a trusted part of our team. This is not a paralegal or case-manager position. The primary focus will be keeping the financial and insurance-related portions of our personal injury files organized and current so that settlements can be disbursed smoothly and promptly. The person hired will work closely with the firm's VP of Operations and receive direct training in our procedures. As the employee gains experience and proficiency, the position will grow into serving as the VP's primary backup for these responsibilities. Primary ResponsibilitiesMedical Bills, Liens, and Subrogation
  • Request, collect, organize, and track medical bills and itemized statements for personal injury clients.
  • Make sure bills are obtained from all known medical providers and follow up on missing or incomplete information.
  • Assist with identifying and tracking health-insurance subrogation interests, medical liens, provider balances, and other reimbursement claims.
  • Communicate with medical providers, insurance companies, lienholders, and subrogation representatives by telephone and email.
  • Request updated lien and payoff information throughout the life of each case.
  • Prepare and send lien-reduction and bill-reduction requests under supervision.
  • Follow up on outstanding reduction requests and maintain clear records of all communications.
  • Keep bill, lien, and subrogation information current so each file is ready for disbursement when settlement funds arrive.
  • Alert VP promptly when information is missing, inconsistent, overdue, or requires additional attention. New File and Insurance Claim Support
  • Open insurance claims for newly retained clients.
  • Draft and send Letters of Representation to insurance companies and other appropriate parties.
  • Confirm receipt of Letters of Representation and obtain claim numbers and adjuster contact information.
  • Enter and maintain accurate insurance, provider, lien, and claim information in the firm's case-management system.
  • Save correspondence and documents in the appropriate electronic file locations.
  • Assist with initial file setup and required follow-up tasks. General Administrative Support
  • Draft routine correspondence using firm templates.
  • Scan, upload, organize, and maintain electronic documents.
  • Assist with incoming and outgoing mail, email, and telephone communications.
  • Calendar deadlines, reminders, and follow-up dates as directed.
  • Maintain spreadsheets, task lists, and internal tracking systems.
  • Help prepare settlement and disbursement documentation.
  • Provide general clerical and administrative assistance to Kim and other members of the firm.
  • Perform other reasonable office-support duties as assigned. What We Are Looking For The ideal candidate is:

  • Comfortable working with numbers, bills, balances, and spreadsheets.
  • Able to recognize when something does not look right and ask questions.
  • Respectful of client confidentiality and sensitive information.
  • Interested in learning the personal injury field and growing with the firm. Minimum Qualifications
  • High school diploma or equivalent.
  • Ability to work daily in our Denver Tech Center office. This is NOT a hybrid or work from home position.
  • Strong written and verbal communication skills.
  • Basic proficiency with email, word processing, spreadsheets, and electronic document management.
  • Ability to type accurately and learn new software systems.
  • Ability to work full-time and reliably maintain the agreed-upon schedule.
  • Authorization to work in the United States. Helpful but Not Required
  • Experience working in a professional office.
  • Previous use of a case-management or customer-relationship-management system.
Legal experience is not required. Training will be provided. Growth Opportunity This position is intended for someone who wants to develop valuable legal and personal injury experience. With successful training, the employee will assume greater responsibility for maintaining the firm's medical-bill, lien, subrogation, and settlement-readiness systems and will become VP's primary backup for those functions.
