Position Summary We are seeking an experienced Legal Assistant to support civil litigation attorneys through accurate calendaring, document preparation, electronic filing, and case coordination. This role works closely with clients, attorneys, paralegals, nurse consultants, and court personnel to keep matters organized and moving forward. Supervisory Responsibilities This position has no supervisory responsibilities. What Success Looks Like
  • Attorney calendars, deadlines, and appearances are accurately tracked and communicated
  • Documents and court filings are accurate, complete, and submitted on time
  • Case information remains organized and current from opening through conclusion
  • Clients and legal team members receive timely, professional communication and follow-up Key Responsibilities
  • Coordinate attorney assignments and calendars for calls, depositions, hearings, mediations, and appearances
  • Maintain docketing entries and deadline reminders; promptly flag scheduling conflicts to attorneys
  • Prepare correspondence, emails, deposition summaries, discovery plans, and initial and status reports under attorney direction; transcribe digital dictation
  • Prepare, proofread, and electronically file pleadings and discovery through the Florida Courts E-Filing Portal; assist paralegals with discovery documents
  • Open and maintain accurate Client Profiles/ATO matter records from inception through conclusion
  • Schedule conferences, unsworn statements, and depositions with parties, counsel, health care providers, experts, witnesses, and hospital personnel; arrange court reporters
  • Assemble documents and records for attorney meetings and proceedings; coordinate case communications with clients, counsel, clerks' offices, and judicial staff
  • Answer calls, take accurate messages, and follow up on requests; arrange attorney travel and prepare related reports and vouchers as needed Required Qualifications
  • High school diploma or equivalent and at least five years of related legal assistant or legal secretarial experience
  • Knowledge of civil litigation, legal office practices, and Florida Rules of Civil Procedure
  • Proficiency with Microsoft Office Suite, including Outlook, and attorney calendaring
  • Strong typing, document preparation, proofreading, and computer skills
  • Sound judgment, discretion with confidential information, and professional communication
  • Strong organization, attention to detail, and ability to manage competing deadlines in a busy litigation practice
  • Dependability and the ability to work effectively with attorneys, staff, clients, and the public
  • Ability to reliably commute to Orlando, Florida 32801, or relocate before starting, and work full time on site, Monday through Friday, in an eight-hour shift schedule Preferred Qualifications
  • Proficiency with Client Profiles/ATO case management software
  • Experience with electronic court filing systems, including ECF Physical Requirements
  • Ability to work in an office environment with minimal walking, climbing, and lifting
  • Ability to sit for prolonged periods at a desk and work on a computer
