Job Description

We are a growing estate planning law firm seeking a highly organized, tech-savvy Legal Assistant & Office Administrator to join our team. This position will initially focus primarily on legal assistant responsibilities . As you become fully trained in our estate planning processes, systems, and day-to-day operations, the position will gradually expand to include office administration and operational responsibilities . We are looking for someone who wants to learn the entire operation, take ownership of responsibilities, and grow into an important long-term member of our team. What You'll DoLegal Assistant Responsibilities — Initial Primary Focus You will initially spend the majority of your time supporting our estate planning team, including: Assist with the preparation and processing of estate planning documents Support the preparation of wills, trusts, powers of attorney, advance directives, and related documents Gather and organize client information needed for document preparation Review documents and client files for completeness and accuracy Prepare files for attorney review Assist with document revisions and corrections Maintain organized electronic client files Communicate with clients regarding documents, appointments, and next steps Assist with client onboarding and follow-up Schedule and coordinate client appointments Update client information and case status in our systems Track deadlines and outstanding client items Support attorneys and other team members with day-to-day legal workflow Help ensure matters continue moving through the estate planning process Accuracy and attention to detail are extremely important in this position. Office Administration — As the Position Evolves Once you become proficient with the legal side of the position, you will gradually be cross-trained in office administration and operations.
Responsibilities may include:
Help oversee day-to-day office operations Coordinate vendors and service providers Maintain office supplies and equipment Assist with scheduling and internal calendars Help coordinate meetings and office events Assist with technology and software coordination Help onboard new employees Maintain internal procedures and checklists Coordinate maintenance and office-related issues Assist management with administrative projects Identify opportunities to improve office processes and efficiency Serve as a dependable point person for routine office needs The long-term goal is for this person to understand both the legal workflow and the operational side of the firm. Technology Is Important We operate a modern, technology-driven practice. The ideal candidate should be comfortable learning and working with: Legal practice management software CRM systems Microsoft 365 OneDrive and cloud-based file management Electronic document systems Calendars and scheduling platforms E-signature software Workflow and automation tools AI-assisted productivity tools You don't need to know every platform we use when you start, but you must be comfortable with technology and able to learn new software quickly. Growth Opportunity This position is intentionally designed to grow. Stage 1 — Learn the Legal Work Your initial priority will be learning our estate planning workflow, documents, systems, clients, and procedures. Stage 2 — Become Independent As your knowledge grows, you'll take greater ownership of legal assistant responsibilities and help keep matters moving efficiently from onboarding through completion. Stage 3 — Expand Into Office Administration Once you've demonstrated proficiency on the legal side, we'll begin cross-training you in office operations and administration. Ultimately, we're looking for someone who can become a key operational member of the firm—someone who understands both how the legal work gets done and how the office runs. Pay:
$55,000.00 - $60,000.00 per year
