Role Objective As our PI Legal Assistant, you'll be the organizational engine behind our personal injury caseload, keeping files airtight, deadlines tracked, and attorneys prepared to fight. You'll manage the daily rhythm of cases from intake through resolution, serving as a key point of contact for clients, providers, and the legal team. The right person for this role is proactive, detail-obsessed, and genuinely motivated by the impact this work has on people's lives. Responsibilities Organize and maintain case files, medical records, police reports, billing records, and litigation documents to ensure accurate, current records across all active cases Calendar and track critical deadlines including statutes of limitations, discovery cutoffs, court dates, lien resolution timelines, and demand submission windows Draft demand letters, correspondence, and legal documents with precision, ensuring adherence to procedural requirements and firm standards Communicate directly with clients, in English and Spanish, to gather information, provide case updates, and ensure they feel informed and supported throughout the process Coordinate with medical providers, insurance adjusters, courts, and lien holders to obtain records, schedule appointments, and follow up on outstanding items Support attorneys with deposition preparation, trial binders, exhibit organization, and settlement documentation Conduct case-related research including insurance policy reviews, medical terminology lookups, and liability and damages analysis to support case strategy Manage intake information, update case management software, and ensure data accuracy and consistency across all systems Handle day-to-day administrative tasks including phone calls, email correspondence, scanning, filing, and scheduling with professionalism and discretion Requirements 1-3 years of experience as a legal assistant, paralegal, or case manager in a personal injury or litigation-focused law firm Bilingual English/Spanish required, written and verbal fluency to communicate effectively with clients and providers Working knowledge of the personal injury case lifecycle from intake and demand through litigation and settlement Proficiency with case management software (e.g., Filevine, SmartAdvocate, Litify, CASEpeer, or similar); experience with document management systems is a plus Strong command of Microsoft Office Suite, particularly Word and Excel Excellent written and verbal communication skills with the ability to interact professionally with clients, medical offices, and opposing counsel Highly organized with the ability to manage a heavy caseload and competing priorities without sacrificing accuracy Discretion and professionalism when handling sensitive client information, medical records, and case details Genuine commitment to client service, you understand that behind every case file is a person counting on you
