Overview:
We are seeking a organized, dependable, and detail-oriented Legal Receptionist/Administrative Assistant to join our team at the Cray Law Firm, PLC. This is a full-time position. Responsibilities include but are not limited to: Maintaining confidentiality and using discretion and tact with clients Greeting clients warmly at the front desk, providing exceptional customer service and maintaining a professional demeanor at all times Managing multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate staff promptly Handling incoming and outgoing correspondence, including emails and mail with accuracy and timeliness Maintaining organized filing systems—both physical and digital—ensuring all documents are easily accessible and properly stored Assisting with calendar management, scheduling appointments, court dates, meetings, and reminders using Microsoft Office and Google Workspace Performing data entry tasks such as updating client records, billing information using Cosmo or other accounting software, and maintaining case files Supporting office management duties including supply inventory, ensuring the office environment remains efficient and welcoming Assisting with client communication and gathering relevant information for cases File and organize legal documents, both physical and electronic Assisting with drafting, proofreading, and editing legal documents Preparing correspondence and communicating with clients, opposing counsel, and other necessary parties Preparing expense reports, prepare bills for clients and submit invoices for payment
Qualifications:
Dependability and a willingness to work Longevity in employment and reliability in attendance Ability to gather and analyze information effectively Excellent organizational skills with the ability to prioritize tasks and meet deadlines Exceptional attention to detail to ensure accuracy in legal documents Strong written and verbal communication skills for effective client communication Previous experience in legal administrative work is a plus Critical thinking skills This is an excellent opportunity to learn first hand and see the legal system from behind the scenes.
