Job Description

Position Overview:
Searching for an administrative assistant with experience in the legal field (preferably in a law firm) that is highly organized, self-motivated, and able to multitask without sacrificing accuracy to work full time (in person position) in a small established law firm in the Ocean City, Maryland area. Candidate must have prior administrative experience in a professional office setting (legal experience preferred), and have a background in handling all basic administrative tasks (phones, filing, scheduling, customer service, drafting correspondence, computer proficient, etc.) The ideal candidate has 1-2 years of legal experience in a private law firm and is familiar with Clio, Microsoft Office Suite, estate/probate matters, billing, drafting client correspondence and assists with the everyday operations of the business. Pay is negotiable based on experience.
Job Purpose:
To assist attorney in all administrative tasks and daily operations of the business while providing excellent customer service and representing the law firm to the public.
Key Responsibilities:
Prepare, format, and proofread legal documents and correspondence Manage attorney calendars, schedule meetings, and coordinate deadlines File legal documents with courts (e-filing and physical filing as required) Maintain and organize case files and records Conduct basic legal research and gather case-related information Communicate with clients, court personnel, and third parties professionally Assist with trial preparation, including prep of exhibits and documentation Handle administrative tasks such as billing support and data entry Candidates must be able to multitask to manage multiple projects and responsibilities, to meet deadlines and to successfully perform without being micromanaged.
Skills/Qualifications:
Associate's or Bachelor's degree preferred; paralegal certificate a plus (will substitute experience for education) 1-2+ years of experience as a legal assistant or in a similar role with legal background Knowledge of legal terminology, procedures, and documentation Highly proficient in computer skills such as Microsoft Office Suite, Adobe, Westlaw, internet research/AI Possess excellent oral and written communication skills Ability to multitask without sacrificing attention to detail Works well under pressure and meet deadlines with minimal oversight Familiarity with e-filing systems and court procedures Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to handle sensitive information with confidentiality Employment subject to background search and drug test
