Job Summary:
The Legal Administrative Assistant supports business operations by providing administrative and client support to the firm's Attorneys, Management Committee, and other support staff. This position requires an individual who is an organized, focused, self-starter capable of managing multiple responsibilities concurrently. The Legal Administrative Assistant must also demonstrate responsibility, accuracy and attention to details and deadlines. Essential Duties & Responsibilities 1. Administrative Assistance for Attorneys a. Reception - The Legal Administrative Assistant will be the initial point of contact for office communication via answering and directing phone calls, as well as onsite guests and clients. b. Firm Calendar Management, including, but not limited to, scheduling client and internal meetings and coordinating attorney calendars. c. Coordinating travel arrangements for firm members (e.g., flight, hotel and car rental). d. Preparing client materials as requested by attorneys or para-professional staff. e. Provide support to attorneys and para-professional staff in completing client and office projects. f. Prepare correspondence and manage incoming and outgoing mail. g. Provide support to attorneys and para-professional staff in properly filing client documents in the firm's original file system and document management system. h. Prepare client document binders for clients upon completion of estate planning documents or related client projects. i. Track and update continuing education credits and state bar registrations for attorneys. j. Manage reminders and follow up with clients to ensure timely communication and support case progress 2. Client Assistance and Coordination a. Collaborate with para-professional staff for client onboarding to ensure new client forms and engagement documents are completed accurately and remain up to date as client data changes. b. Open and close client matters in the firm's file management system. 3. Employee and Office Coordination a. Assist Firm Administrator in onboarding and training new employees. b. Organize and maintain office and common workspaces to the standard of a professional office. c. Monitor office and kitchen supplies and order them regularly to maintain office operations. 4. General a. Support Firm Administrator in the coordination of holiday cards, firm announcements and other firm marketing. b. Support Firm Administrator in promoting team building/firm culture by assisting in coordination of firm events. c. Assist as needed in coordination of client and marketing events (e.g., schedule coordination, dinner reservations, hotel reservations, etc.).
Skills and Knowledge:
  • Proficient with Microsoft Word and Microsoft Excel
  • Ability to become familiar with new programs and software (e.g., firm file management and billing program - Clio)
  • Strong verbal and written communications skills
  • Strong organizational, time management and problem-solving skills.
  • Able to effectively manage multiple responsibilities concurrently.

Working Conditions:
This position requires the candidate to be onsite for 40 hours per week with additional hours as needed. The role involves working in a professional office environment where collaboration with team members and direct interaction with clients are essential. The candidate must be able to commit to a full-time schedule, ensuring consistent availability during standard business hours to support the needs of the team and clients effectively. Due to these requirements, there is no ability for remote work.
Compensation and Benefits:
Competitive compensation package, including the potential for earning performance bonuses, with the base salary being commensurate with experience. This position qualifies for all firm benefits, including retirement plan with firm contribution, health insurance with health savings account contributions, disability and life insurance and generous paid time off.
