Description Performs a wide variety of administrative and paralegal duties for the attorneys within the legal department and other owners/managers/executives from various departments or affiliated companies.
ESSENTIAL FUNCTIONS/DUTIES/RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO
Administer garnishments, IRS levies and child support proceedings related to independent contractors; research state child support laws relating to independent contractors. Assist in administering responses to workers compensation and unemployment compensation claims of independent contractors and assist with bankruptcy proceedings related to independent contractors. Managing adverse action notice process and compliance with applicable regulations. Managing and responding to third party subpoenas and document requests and other inquiries. Process the Legal Department's daily incoming correspondence; maintain logs and files. Keep a chronological file for in- and outgoing correspondence and maintain follow-up files. Maintain confidential business files, including filing documents with state agencies and coordinating record keeping with other departments, responding to and managing federal and state government records requests. Maintain and update library materials. M aintain external and internal public relations and publicity communication information. Corporate and other entity records management, including annual minutes, updating officer lists, SOS renewals, ownership books, corporate summary sheets, and helping form new entities and other corporate transactions/record keeping. Assist in the preparation of corporate minutes, corporate transactions, corporate governance and record keeping, maintain minute books, create and maintain other corporate files, prepare annual reports and other business filings and maintain logs for the same. Provide litigation assistance, prepare litigation hold notices and summary reports. Provide paralegal support in the real estate area as needed. Assist in documentation and management of the Legal Department's expenses. Receive, screen and handle phone calls. Compose letters, memos or other documents from outline notes or verbal instruction. Create and maintain various Law Department files, order and maintain office supplies. Coordinate the completion of departmental tasks with Part-Time Legal Assistant, when applicable. Contracts administration, including preparing and reviewing routine Non-Disclosure Agreements and trailer interchange and equipment documents. Also tasked with maintaining customer and vendor contracts. Perform miscellaneous duties as assigned. Maintain regular and consistent attendance. Work with fellow employees, departments and affiliates in a cooperative spirit implementing the "Team-Concept". Qualifications Bachelor's Degree or paralegal/legal secretary certification. Experience in the legal field, as an executive assistant or in office management is preferred. Strong written and communication skills Proficiency with Excel and Word The ability to multi-task, work in a fast pace environment, be detail oriented with strong written and oral skills while maintaining effective communication The ability to handle stressful situations in a non-confrontational, problem solving manner is required The ability to work with difficult people and handle conflict constructively is essential Duties- High Performance
