Work Schedule:
Monday - Friday, 8:30 a.m.-5:00 p.m., with a one-hour lunch. This is a 37.5-hour workweek, requiring at least 4 days onsite.

Job Description:
The St. Louis office is seeking an experienced Legal Assistant to provide high-level administrative support to a busy transactional legal practice. The ideal candidate will be polished, highly organized, proactive, and comfortable managing competing priorities with limited oversight. This role requires someone who can anticipate needs, maintain exceptional attention to detail, and remain one step ahead in a demanding professional environment.
Key Responsibilities:
Prepare, revise, format, and proofread correspondence, agreements, presentations, spreadsheets, and other legal documents Maintain organized physical and electronic matter files while ensuring documents are accurately stored and easily accessible Coordinate document activity through client portals, extranets, and internal databases Monitor important dates, open items, and matter progress, providing timely updates and reminders to attorneys Review and revise client pre-bills before submitting them to the billing team Research outstanding invoices and follow up on billing or payment questions when requested Assist attorneys with time entry, billing activities, expense reports, and vendor payment requests Communicate professionally with clients, outside counsel, internal departments, and other external contacts Manage complex calendars and arrange meetings, conference calls, conference rooms, and reminders Coordinate domestic and international travel through the firm's designated travel provider Open and close client matters, assist with conflict checks, complete new-matter documentation, and prepare engagement materials Maintain contact information, prepare mailing materials, and coordinate correspondence as needed Support the development of client proposals, presentations, and other business materials Answer and route calls for attorneys and other members of the legal team Provide backup coverage and assist colleagues with overflow projects Help train or orient new and less-experienced administrative team members when needed Perform additional administrative and practice-support duties as assigned
Qualifications:
At least five years of administrative experience within a law firm, corporate legal department, or comparable professional services environment Prior legal billing experience is required Strong experience managing both physical and electronic files is required Experience preparing, editing, formatting, and proofreading legal or highly detailed business documents High school diploma required; associate's or bachelor's degree preferred Proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint Experience with Adobe Acrobat and document management, timekeeping, billing, or workflow platforms Familiarity with iManage, Intapp, Aderant, or similar legal technology is strongly preferred Ability to work effectively in a high-volume environment while balancing planned responsibilities and urgent requests Exceptional accuracy, organization, judgment, and follow-through Strong written and verbal communication skills Professional presence and the ability to build trusted relationships with attorneys, clients, and colleagues Self-directed, resourceful, and comfortable anticipating needs before they are raised Transactional, corporate, insurance, or other business-focused legal experience is preferred
