This position plays a pivotal role in helping individuals and families establish and administer Special Needs Trust sub-accounts across Missouri and neighboring states. The Trust Services Administration Paralegal is responsible for the administration of special needs trust sub-accounts from intake through closing. This position serves as a primary point of contact for beneficiaries, family members, legal representatives, and community partners while ensuring compliance with trust agreements, organizational policies, and applicable regulations. The ideal candidate has experience in trust administration, estate planning, probate, elder law, or special needs trusts and possesses excellent organizational, communication, and client service skills. Essential Duties and Responsibilities Client Consultations Conduct consultations with prospective clients, family members, and legal representatives. Explain trust administration processes and trust agreement documents. Review trust documents for completeness and accuracy prior to opening trust sub-accounts. Follow up with responsible parties to obtain outstanding documentation. Maintain accurate records of pending trust documents. Trust Account Administration Serve as backup for entering new trust sub-accounts into the trust management platform. Maintain complete electronic and paper trust files. Enter and maintain accurate account activity notes and client records. Process routine correspondence and document requests. Monitor trust activity and ensure compliance with organizational policies. Inactive Trust Management Open and maintain inactive trust sub-accounts. Perform annual reviews of inactive accounts. Transition inactive accounts to active status when appropriate. Maintain accurate records within the trust management system. Deposits and Financial Administration Maintain routine deposit reports and annuity schedules. Perform quarterly routine deposit reviews. Prepare reports for the Director of Trust Services. Assist with monitoring investment activity and processing authorized account changes in accordance with policy. Trust Closings Coordinate all closing procedures for trust sub-accounts. Obtain Medicaid recovery information and remainder beneficiary documentation. Review trust records and account history. Process final distributions in accordance with trust agreements, policies, and applicable regulations. Prepare files for retention upon account closure. Administrative Support Assist the Director of Trust Services with trust account reviews, audits, and special projects. Maintain accurate data and records. Participate in quality improvement initiatives and departmental meetings. Community Outreach Represent the organization at conferences, educational events, and community outreach activities. Assist with conference exhibits and promotional events. Participate in professional development opportunities and continuing education. Other Duties Perform additional duties as assigned. Qualifications Education Associate's or Bachelor's degree in Paralegal Studies, Legal Studies, Business Administration, Finance, Accounting, or a related field preferred. Paralegal Certificate preferred. Equivalent combination of education and relevant experience may be considered. Experience Two (2) or more years of experience in trust administration, estate planning, probate, elder law, fiduciary services, banking, or legal administration preferred. Experience with Special Needs Trusts and Medicaid regulations is highly desirable. Experience working directly with clients and families preferred. Knowledge, Skills, and Abilities Knowledge of trust administration and fiduciary principles. Understanding of estate planning and trust documents. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to maintain confidentiality and exercise sound judgment. Strong attention to detail and accuracy. Proficiency with Microsoft Office and trust or case management software. Ability to manage multiple priorities in a fast-paced environment. Preferred Qualifications Certified Paralegal (CP) or comparable professional certification. Experience with Special Needs Trust administration. Knowledge of Medicaid eligibility and reimbursement requirements. Experience working in a nonprofit, legal, or fiduciary services environment.
